Responsible for all aspects of project accounting and bookkeeping including contract review A/P, A/R, General Ledger, banking transactions, preparation of billings/invoices, liens, deposits, inventory/purchasing, weekly Intuit payroll, all taxes, and preparation of weekly/monthly reports. Key interface with team members, customers, vendors, and subcontractors. Assist with bid submittals, contracts, and project management. Maintain and update files for all active and prospective projects.
Qualifications * Proficient with Time Management, Excel, Accounting, Bookkeeping, QuickBooks, Workers’ Compensation, Word, & Windows * Experience handling payroll, accounts payable and receivable * Experience answering business office telephones * Very detail-oriented worker * Outstanding interpersonal and team skills * Ability to learn quickly and hand a large volume of work
Duties * Answering the phones and directing calls or assisting the individual * Accounts Payable: maintaining the QuickBooks software. Keeping all accounts current and paid in full. * Accounts Receivable: tracking outstanding invoices and reporting to the owner the status and anticipated date payment will be received * Payroll: Performing payroll when needed to include weekly checks, payroll taxes * Taxes: Help the accountant gather and put together documentation as needed to allow the accountant to perform their duties * Bidding Support: obtaining bid documents, payment and performance bonds for projects that we are bidding on and have been awarded. Also securing certificates of insurance for both general liability and Workers’ Comp in accordance with specification for each individual project. * Maintaining the bid schedule and preconstruction meetings schedule and communicating these dates to the owner and project manager so that we can ensure that we have someone attend and that the bid packages are sent out in a timely manner. * Organize and prepare pre-bid packages; secure plans, specifications, addendums, etc * Review bid specifications/blueprints in order to prepare bid package requirements * Maintain relations with all vendors, clients, engineers, architects, owners, etc
Experience * A minimum of 2 years accounts payable and payroll experience, preferably in construction * Strong organizational skills, verbal and written communication skills and effective listening skills * Highly proficient in QuickBooks and Microsoft Office
