Immediate Opening:

Successful tutoring service is looking for an experienced office assistant to assist with growing business. This is a new position being created to assist the owner and office director in all administrative and tracking processes of the business. The candidate will be able to work from the Wellesley office. Ideal candidate has the ability to grow into an eventual Office Manager role.

· General Administrative

– Manage scheduling (projects, appointments, deliveries, etc.)

– Run errands

– Manage calendar (owner & employee assignments)

– Answer telephones

– Insurance policies (renewals, certificate of insurance requests, workers compensation audits)

· Bookkeeping

– Accounts payable, accounts receivable, general ledger, and chart of accounts​

– Process credit card billing

– Reconcile bank accounts

– Pay bills

– Maintain credit card merchant account (process payments from clients)

– Assemble records for tax preparation by accountant

· Payroll

– Track employee hours

– Prepare and submit payrolls

– Pay monthly and quarterly taxes due

– Issue 1099s and W-2s

· Human Resources

– Maintain employee files and I-9 records

· Additional Responsibilities

– Assemble materials for tutor and student use

– Maintain databases and spreadsheet

– Email reports to clients

– Distribute marketing assignments

– Maintain and improve upon organization systems and processes

Computer Skills:

Required: QuickBooks & QuickBooks Online, Microsoft Excel, Microsoft Word, Outlook

Preferred: Both PC and MAC experience

Technical Skills:

· Type 35+​ wpm

· Strong math, reading, writing and verbal communication skills

· Detail-oriented

· Independent /​ Self-starter

· Good time-management skills

· Ability to prioritize tasks in order of importance
