Progressive Machine & Design Hiring for Administrative Assistant at Victor, NY Full Time

JOB SUMMARY:

Arrange travel, manage returns and coordinates customer lunches.
ESSENTIAL FUNCTIONS:

• Coordination of business travel for PMD employees. Activities include:
• The position requires weekend and off-hours support on occasion.
• Process Travel Requests that include the following:
• Attend travel meetings with the Project Team
• Schedule flights, hotels, rental cars, and advances for travelers
• Support travelers at customer installs and make changes as required.

• Review employee expense reports for policy, completeness, organize receipts and forward to Finance for reimbursement
• Organize receipts for the company travel credit card. This includes travel, rental car, customer lunches and any other miscellaneous expenses.
• Provide Time and Material cost worksheets for Project Managers
• Process requests for employee passports and business visas renewals
• Manage agendas, travel plans and appointments for a PMD employees.
• Exercise discretion and independent judgement when coordinating business travel and other activities.

• Returns
• Manage and process returns per process
• Quarterly review of Return process.
• Pursue and initiate returns with the build group as required
• Request RMAs from vendors for returns
• Determine disposition of material: Transfer, Return, Inventory, Scrap
• Maintain status for all returns

• Customer visits and lunches
• Customer Suite scheduling as required
• Ordering, delivery and set up of lunches for customers and PMD team members
• Maintain/stock water and other supplies for customer lunches.

• Provide administrative support to the Director of Project Management and Project Managers on a as needed basis.
• Maintain confidentiality of company, project, product, and personnel information.
• Observe safety procedures
• Any other task assigned by management within scope of the position, federal and state regulations.
