Summary: The patient’s advocate responsible for the non-clinical functions of the Care Team. Works in conjunction with the physician and the nurse/medical assistant (MA) to provide an efficient and high-quality care experience for the patient. In most cases, will travel to different offices with the nurse/MA per the physician’s schedule.
Essential Job Responsibilities:
1. Schedules all office appointments, including radiology exams, for current patients and assigned new patients.
2. Schedules all surgeries. Carefully and accurately books procedures in a methodical way.
3. Notifies patients of all instructions, policies, and procedures at time of appointment being made. Including radiology prep, COVID instructions, etc.
4. Notifies Benefits Specialists and Imaging Authorization Specialists of any changes to procedures or radiology appointments.
5. Obtains and inputs patient demographics and basic payer information into computer system; updates information as necessary when booking appointments.
6. Provides prior authorization forms to Benefits Specialist(s) prior to all surgeries, imaging appointments, in-office procedures, and medications.
7. Obtaining referrals/authorizations for regular office visits.
8. Assists in scanning into Urochart patient paperwork, including new patient forms, lab, CT, X-ray and pathology results, correspondence, outside records and other documents as necessary. Collaborates with medical records staff as needed.
9. Electronically sorts, routes & files incoming correspondence and patient records.
10. Communicates efficiently with Team Lead when provider will be out of office in order to appropriately grey out schedule.
11. Handles all telephone calls for physician and nurse/MA when MA is in clinic; takes messages as necessary, and prioritizes urgent calls appropriately.
12. Communicates efficiently with nurse/MA about schedule; daily as needed, one week out, recommended.
13. Prepares patient charts for visits and surgeries ahead of time.
14. Runs Tickler report daily and contacts patients to schedule follow up appointments.
15. Acts as liaison for physician’s primary referrers.
16. Manages physician’s outgoing referrals.
17. Obtains patient Urgent Care/Emergency Room records as needed.
18. Contacts Lead or Float Care Coordinator if assistance is needed with rescheduling patients, surgery scheduling, etc.
19. Educates patients about Care Team; helps to set patient expectations regarding who to call and how calls/concerns will be managed.
Education Requirements: High School diploma.
Experience Required: Minimum one year of experience in surgery scheduling in a medical practice or hospital setting.
Other Requirements: Attire is business casual (conservative and professional).
