Rangam Consultants Hiring for Administrative Assistant Job at Remote Full Time

Location – Remote

Time – 630am/7am EST to 230pm/3pm EST to accommodate time difference to Basel, Switzerland

*** The team is also requesting additional skills in Project Coordination/Management- this is a PLUS but not required.***

Key Responsibilities (Admin):

• Heavy Calendar Management- this person will support up to 3 Global Heads.
• Support additional requests of other ELE Team Members
• Heavy International Travel Arrangement- ELE Global Head travels to Basel almost monthly
• Heavy monthly travel expenses ; Must be organized and have knowledge of processing expenses
• Assuring timely and cost-efficient travel arrangements, as required, utilizing company-required tools and resources.
• Must be able to schedule meetings across several time zones including US, EU & China
• Assures staff adherence to special travel restrictions and approvals.
• On and Off-Site Meeting Planning including but not limited to Basel travel and US events such as lunches and dinner for MLT Heads
• Assisting in scheduling new-hire interviews, arranging MS Teams conferences, and performing on-boarding activities for US based new hires
• Prepare and maintain Org Charts, Monthly ELE Team Meeting agendas and LT meetings
• Maintain several distribution lists for overall ELE Team as well as RWE Team
• Will frequently work with several other admins from GMA to schedule large scale meetings
• Special Projects as required
• Must be able to prioritize and stay extremely organized and focused on the tasks at hand
• Must be able to work independently but also work with several team members on a regular basis

Key Responsibilities (Project Coordinator):

• Act as administrator for project collaboration tools – JIRA, Confluence, MS Teams, Sharepoint etc.
• Provide logistical support to the project (e.g. organize workshops)
• Keep Project Org chart current
• Onboard and off board resources to the project
• Support / Lead project management activities
• Prepare workshop agendas, slides and other workshop documents
• Act as a scribe in large workshops – documenting meeting minutes
• Maintain various distribution lists associated with the project
• Create excel templates for tracking various activities of the project
• Keep all repositories and documentation organized and up to date

Skills:

• Highly proficient in all administrative support skills; demonstrated good to excellent skills in key computer applications (e.g., Windows, Word, PowerPoint, Excel, Outlook, Concur, Req to pay and SAP), with proven ability to learn new technologies
• Must be proactive, efficient, customer focused and able to work under pressure with tight deadlines
• High levels of energy and passion for the job/ team
• Fast acting – Adaptable – quick thinking & multi tasker
• SAP and Concur knowledge is a plus- some system training will be provided from current team admin
• Must be a team player and willing to pitch in so that goals of the team are met
• Must be proficient in Microsoft Word, Excel, MS Teams, Outlook- Sharepoint is a plus
• Excellent interpersonal and communication skills are required

Education:

• HS Diploma is required

Preferred but not required:

• College Degree or Secretarial School certificate
• Strong understanding of Pharmaceuticals and or Pharmaceutical Industry organizational policies and procedures will be an advantage
• 5-7 years of strong administrative experience

Job Types: Full-time, Contract

Salary: $30.00 per hour

Schedule:

• 8 hour shift
