Summary of Position
The Administrative Assistant supports the HR Team plus other departments such as Marketing, Finance and Production as needed to complete duties throughout the lab. The job focuses primarily on administrative processes and procedures. This is a shared administrative job, not exclusive to HR except for the peak season where the job will focus exclusively on HR seasonal employment work and/or production floor support.

M-F 8-5 @ $24.00-$26.00 Based on Experience
Essential Responsibilities
? Serves as a point of contact for employees and supervisors
? Answer questions about policies, benefits and urgent day-to-day employee issues via the following communication methods: Slack, face-to-face,and/or email
? Assists in compiling regular reports and presentations on HR metrics
? Provides basic HR office support by delivering pay stubs, badges, passwords, system access, etc.
? Attends job fairs and other outreach recruiting events as needed
? Prepares new hire packets and employee orientation materials
? Enters new hires into Paylocity system and confirms all new hire tasks are complete
? Completes administrative tasks associated with terminations including data entry into Paylocity, canceling badges and IT credentials and filing documents into employee records
? Assists payroll department by providing relevant employee information
? Updates Paylocity
? Scans documents (signed Offer Letters, Promotional Letters, Work Permits, Doctors Notes etc.) into electronic employee files
? Prepares and executes status changes
? Runs reports in Paylocity (ex. Perfect Attendance and Anniversary for All Building Meeting)
? Assists the HR Director, HR Specialist and HR Coordinator as needed
? Maintains and updates required spreadsheets (Harassment training tracker, Agency Hires, HR to Accounting etc.)
? Assembles and distributes Worker Comp packets for supervisors and employees and uploads accident reports to Asana
? Updates and/or escalates employee and business issues or concerns to the Director
? Responds to HR callback requests from the Attendance Hotline
? Follows up on any questions or issues with HR Director or department managers
? Ensures managers/supervisors are informed of absence issues
Other Duties
? Works with marketing, finance or other departments to produce special projects, collect and tabulate data and any other administrative tasks as assigned.
? Prepares materials to support events
? Keeps active employee lists up-to-date for raffle drawings and prizes
? Tracks eligibility for employee referral program and assists in delivering awards
? Assists on the Production floor as needed
