We are seeking an Scheduling Coordinator to manage the pickup calendar to ensure the job is retrieved as soon as possible based on available resources. The Scheduling Coordinator follows the pickup through its lifecycle. Providing customers compliance documentation and closing out the job. The position will also serve as the receptionist answering the company mainline and other administrative duties. The ideal candidate must have the ability to effectively multi-task in a fast-paced environment, demonstrate problem solving skills, must be detail oriented and be adaptable. Scheduling experience is required.
Duties:
- Responsible for answering incoming calls and addressing the concerns of our clients, buyers, vendors and community.
- Directing calls to appropriate staff when needed
- Scheduling clients pickup using our CRM and Internal Calendar, coordinating with our client services and logistics team.
- Inventory, order, and stock – kitchen, restroom, warehouse and shipping supplies.
- Book and coordinate hotels and travel arrangements for drivers
- Prepare and send compliance reports to clients as work has been completed.
- Organize and distribute company mail
- Keep front office and conference rooms clean
- Provide administrative support to other executives within the company.
- Organize and maintain the electronic office filing system.
- Being on call for travel and other emergencies at night for our drivers.
- Willingness to enthusiastically complete both high-level and low-level tasks.
- Other duties as assigned by your supervisor.
Education:
High school diploma required. Associates degree or equivalent from a two-year college or technical school; and/or two years’ experience and/or training answering phones, office products, and scheduling/dispatching; or equivalent combination of education and experience.
Previous experience in the following roles that are a good fit for this role are dispatcher, administrative assistant, scheduling coordinator, logistics coordinator, transportation coordinator, and operations coordinator.
Benefits and Pay:
Job Type: Full-time, 8am – 5pm – Monday through Friday, occasional after hours calls from drivers
Pay: $20 per hour
