Role purpose
The Project Administrator operates at the direction of the Projects Division Lead or their delegated Client Service Manager (CSM) and is tasked to enhance SAARA’s service capacity in the area of project support services.
Key Accountabilities
This position exists to support SAARA client specific project work, in the form of tasks, assignments and projects undertaken within the team environment, or when delegated, taking the lead on a specific piece of client project work.
Salary range 57k – 65k dependent on experience and skill
Responsibilities
1. Client Specific, project administration tasks – under the guidance of the CSM, including:
o Meetings – Meeting preparations, (agendas, meeting invites, bookings, notifications), online and/or in person at client’s premises NZ wide and/or at SAARA specified workplace. Meeting/post meeting tasks, (recording, production and distribution of minutes and action points to relevant stakeholders.
o Record keeping – Receiving, collecting, collating, filing, distributing notes, memos, records, correspondence, and documents.
o Communications – correspondence, liaison by phone, email, Microsoft Teams (or similar), and/or in person with stakeholders and relevant entities.
o Data input – Receive, collate, and provide data input as required.
o Documentation development – Support the project team with document development, including but not limited to, reports, proposals, financial records, agendas, and minutes.
o Processing – Contractor and client documents.
o Research – Subject matter research to support project requirements.
o Proofreading and formatting – Proofreading documents, providing feedback and formatting for improvement.
o Logistics – Co-ordination of logistics.
2. Inter-divisional support – With direction from the relevant SAARA CSM, provide work assistance to either the Education division and/or the Security division to help accomplish various necessary tasks related to those divisions as required.
3. CEO/MD/SLT support – Provide administrative assistance to SAARA C Suite and Senior Leadership Team.
4. Business operations support – Support wider SAARA business operations as required, including:
o Marketing – Support Web page updates, articles, and contributions.
o Logistics – Support the organisation of staff functions, travel, and purchasing.
o Operations – Contribute towards strategic planning, operational efficiencies, and business growth.
o SAARA policy and procedure development – Assist with SAARA’s continual improvement of policies, procedures, and SOP’s.
o Peer reviews – Assist with the peer review of documents to enhance SAARA’s quality assurance measures.

Must have:

o Very good communication skills, in both verbal and written English.
o Intermediate level computer skills, especially with Microsoft Word and Excel.
o The ability to gain a ‘Certificate of Approval’ under the Private Security Personnel and Investigators Act 2010.
o A teachable attitude and learning agility.
o Problem solving aptitude.
o Initiative, and be proactive.
Desired:
o Business administration qualifications.
o Microsoft VISIO experience and competence across the Microsoft Office suite.
o Experience ‘proof reading’ professional reports.
