Your Role With Us:
The Pharmacy Purchasing Specialist is responsible for coordination of the medication procurement process for Salem Health Pharmacy Services. This position ensures adequate inventory levels of drug products and materials are on hand to support patient care needs in accordance with organizational goals and objectives.
Core Functions:
Analyze Compliance and Approve Processing
Perform a variety of analysis and configuration functions. Processes all vendor invoices/credits/return authorizations as well as reviewing same for accuracy in contract pricing, buying group affiliation allocation justification, GPO/340B/WAC contract compliance rates and approves for processing by AP within same day as product received.
Manage Budgetary Objectives
Initiates order request processes using best judgment as gained by experience in making purchasing decisions that sustain adequate drug inventory levels, address all specific product requests, and minimize impact of drug shortage issues.
Manage Inventory
Receives order deliveries, completes closed loop processes verifying accuracy, subdivides and repackages order as appropriate for each supported department or clinic, and physically restocks designated drug storage areas.
Analyze Procedural Processes
In coordination with Pharmacy Director, Operations Manager(s) and Clinical Coordinator assists in development of Department Pharmaceutical inventory management policies, implements workflow initiatives as well as to establishes inventory procedural objectives/goals.
Report Processing
Ensures that integration steps supporting such processes as barcode scanning or price updates are addressed. Has a thorough understanding of vendor based software programs such as EPIC, OMNICELL or Drug Wholesaler Web-based portals. Prepares reports using these programs for dissemination to Pharmacy Management as well as Finance.
Government Regulations
Ensures documentation steps are in compliance with regulatory rules, Federal or State laws as well as local ordinances. Manages drug recalls as well as disposal of all expired medication.
Department Specific Functions
Maintains on-call status as necessary to respond to critical inventory procurement needs due to emergent or disaster situations.
Manages organization of and labeling of inventory stock areas.
Prepares for and performs Pharmacy Department Annual Inventory including updating drug databases as required.
Provides training and instruction to Pharmacy Technician staff who support inventory management processes and/or provide coverage when buyer is off duty.
Background/Expertise:
Bachelor degree in related field, OR Associate degree in related field with two (2) years industry related experience OR Four (4) years of industry related experience.
340B Program Competency. Certified as a Pharmacy Tech required Minimum of five (5) years required.
Oregon Board of Pharmacy Technician License required.
Nationally Certified Pharmacy Technician required.
Strong communication skills are required for relating to both internal or external vendors and customers as necessary to respond appropriately to service requests and provide service support.
Proficient in using Microsoft Excel, Premier Reporting tools as well as vendor order processing or reporting systems and software.
Pharmacy informatics and/or 340b program experience preferred.
Knowledge of Medications or experience as a Pharmacy Tech helpful.
Knowledge of Bedside Barcoded medication Delivery Preferred.
Knowledge of medication workflow in a hospital setting is preferred.
Knowledge of Medication Reconciliation is also preferred.
Strong conceptual, analytical, and problem-solving skills – attention to detail
Ability to work in department and interdepartmentally to articulate ideas, negotiate resolution of issues, and achieve objectives.
Strong organizational and time management skills; ability to adapt quickly to changing priorities.
Solid working knowledge of Microsoft Office and other productivity tools, as well as assigned applications and technologies.
Broad-based knowledge of guidelines, FDA rules, regulations and/or laws as pertain to ordering as well as documenting pharmaceutical purchases.
Ability to establish working relationships with other hospital entities or specialty suppliers that can support emergent procurement of product when necessary.
