Position Purpose

What’s the role –

As a key role who will be supporting the leader and teams, this person will:

• Provide proactive administrative support to the GM / Managers whose organizations are potentially dispersed between New Orleans and Houston.
• Provide general administrative support to department teams, various operations, and stakeholders – some of which may be virtual support.
• Book complex travel and assist GM / Managers to obtain passports and visas.
• Reconcile Concur expenses for GM / Managers and extensive travelers, and be the first line support for staff needing assistance with Concur expenses
• Usage and administration of departmental credit card for defined dollar value.
• Coordinate calendars and schedule meetings with internal and external stakeholders, requiring dynamic collaboration to accommodate a variety of schedules – and consistently changing schedules.
• Create and update organization charts – Microsoft Office Suite to proficiently create and edit files
• Support arrangement and management of complex onsite and offsite workshops, conferences, meetings, events (including researching venues), negotiating with third parties, costing activities and full administrative responsibility before, during, and after the event
• May coordinate office space for team(s) supported working with local real estate.
• May require complex or large scanning and printing, reproduction, binding, typing and faxing
• Support staff onboarding and offboarding (GM direct reports) and all administrative items associated with processes.
• May maintain team’s SharePoint site- Apply and encourage best practices globally and provide suggestions for optimizing to get things done more efficiently.
• May coordinate agendas, lead facilitation and minute team meetings.

Skills & Requirements

What we need from you –

• Must have legal authorization to work in the US on a full-time basis.
• High School Diploma – Minimum 5 years of relevant work experience in a similar role
• Proficient with standard Microsoft Office software
• Solid experience with various tools/systems (Concur Travel, Concur Expenses, SharePoint, ServiceNow for IT services, Condeco) is preferred
• High level of attention to detail with accuracy
• Excellent interpersonal skills
