The Secretary to Chief and Council is responsible for providing senior administrative and secretarial services to Chief and Council and the Director of Operations. The position also coordinates Skeetchestn administrative functions, including office administration and daily supervision of front office staff and human resources support.
Key Responsibilities
Performs all duties and responsibilities in accordance with Skeetchestn Indian Band policies, practices, and procedures as directed by the Director of Operations. Maintains confidentiality as required pertaining to members, employees, and general matters of SIB.
Administrative and Secretarial Support to Chief and Council
Ÿ Schedules meetings and assists with calendars for Chief and Council
Ÿ Reviews and amends the Chief and the Councillor daily itinerary to provide supporting documentation and conduct follow-ups for upcoming meetings and events including reviewing minutes of meetings attended by them.
Ÿ Prepares for Council meetings including organizing agendas, notifications, compiling documents, preparing packages pre and post meetings.
Ÿ Attends meetings of Chief and Council and records meeting minutes.
Ÿ Follows up on action items arising from meetings and decisions of Chief and Council.
Ÿ Arranges meetings at the request of the Chief and Councilors, prepares and distributes agendas and minutes and provides follow-up information requested at the meeting.
Ÿ Co-ordinates all aspects of various political or social events/functions. Where requested, selects and purchases appropriate gifts for visiting dignitaries and may conduct tours for various groups.
Ÿ Assists the Chief and/or Councilors with inter-governmental relations; prepares briefing notes, opening letters and speeches, writing scripts, greetings, and press-releases.
Ÿ Ensures the development and coordination of appropriate inter-governmental opportunities for Council.
Ÿ Stays alert of current Indigenous matters and new developments regarding Indigenous Title and Rights.
Ÿ Assists the Chief and Council with communication advice and media relations originating in the Council meetings.
Ÿ Maintains strong and healthy relationships with BC and Federal Ministries and First Nations organizations.
Ÿ Makes travel arrangements for Chief and Council including air travel and hotel bookings.
Other Duties
Ÿ Participates in the planning, coordination and delivery of community meetings and events.
Ÿ Provides back to essential duties of the Assistant Director of Operations during periods of vacation or absence.
Ÿ Provides back up to essential services in the Finance Department as required.
Other related duties as required.
Qualifications
Training, Education, Experience
· Certificate in Administration or Paralegal. Or equivalent knowledge gained through a combination of education and experience.
· 3-4 years of prior experience in administration including experience supporting senior management and/or elected representatives.
· Experience in minute taking, agenda and meeting preparations.
· Current Class 5 BC Driver’s license.
· Satisfactory criminal records check.

· Strong secretarial and administrative skills including records management.
· Well-developed communication and interpersonal skills.
· Well organized and proactive with strong time management skills.
· Ability to multitask with attention to detail.
· Ability to plan, coordinate and solve problems.
· Strong office administration skills including records management experience.
· Ability to conduct research using the web or other information sources.
· Ability to exercise a high degree of professionalism and confidentiality.
· Strong cultural sensitivity and understanding.
· Able to work independently with minimal day-to-day supervision as well as working within a collaborative team framework.
· Well-developed computer skills including with the ability to trouble-shoot basic issues and support users.
· Genuine respect for Skeetchestn Indian Band culture and protocols.
Working Conditions
Work is performed primarily in an office environment. Occasional travel to attend meetings or training is required.
