Reporting to the Facility Manager and based at the Calgary Courts Centre location, the successful candidate’s primary responsibility will be to provide professional in-person, telephone, and email reception. In addition, the candidate may provide administrative and document control support as required such as producing miscellaneous correspondence, reports, specifications, and spreadsheets.
How will you contribute to the team?
To perform this role successfully, the candidate will be responsible for but not limited to the following:
Provide professional, courteous in-person, telephone, and email reception.
Greet visitors and answer inquiries.
Facilitate, document, and track sub-contractor registration and orientation.
Respond to service request submissions via phone and email.
Monitor shared service request inbox and dispatch service requests to building technicians.
Create daily work orders for all service requests.
Manage, document, and track building lost & found.
Document and track boardroom bookings.
Manage ingoing / outgoing mail.
Maintain and order kitchen supplies (coffee, tea, etc.).
Maintain and order office supplies (stationary etc.).
Update and manage office spreadsheets (security clearances, WHMIS, tenant contact lists, etc.).
Maintain and update operational binders (H&S orientations, waivers, etc.).
Provide vacation relief and backup to other team members when required.
Assist leadership team when requested and execute other related duties as assigned
What will you contribute?
Minimum 2-3 years administration/reception experience.
Proficiency in Microsoft Office, including Word, Excel, Outlook, PowerPoint; experience with JD Edward Enterprise One an asset.
Excellent interpersonal, communication, and customer service skills.
Ability to work independently and in a team environment.
Strong organizational, planning, and time management skills.
Critical thinking and strong problem-solving skills.
Exceptional ability to adapt to changing situations with focus on collaboration.
