POSITION SUMMARY

• To provide support in the day-to-day office operations of the C-suite and/or Senior Executives, serving as an extension of the Executive(s) in dealing with the community, vendors, Medical Staff and all staff with SolutionHealth and affiliates.

PRIMARY DUTIES AND RESPONSIBILITIES

• Provides direct Executive Assistant support to the Chief Human Resources Officer and Chief Information Officer (CHRO, CIO). Anticipates and addresses the immediate needs of the executives.
• Serves as the liaison to other executives and Executive Assistants and key internal and external constituents.
• Ensures and maintains a high level of communication and coordination between and among SolutionHealth and Hospital System Leadership on matters as directed by the CHRO & CIO.
• Prepares and facilitates communication to and from the executive office. Screens, determines and follows-up on the appropriate disposition of communications. Consults with and informs appropriate persons of situations requiring attention while exercising sound judgment with a high level of confidentiality and sensitivity. Maintains the Executive(s) files.
• Manages, tracks, monitors and follows the progress on action items and tasks that emanate from the executive’s office, committees, etc.
• Manages all calendar coordination and scheduling for the CHRO and CIO, assuring accuracy and timely input, as well as the preparation and availability of meeting materials.
• Creates presentations, spreadsheets and documents for the executive on an array of topics.
• Coordinates regular and special meetings of various organizational groups to include attending and scheduling the meetings, coordinating, preparing and distributing agendas, etc.
• Understands organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed on behalf of the CHRO and CIO.
• Performs routine typing, drafting of documents and confidential assignments as required.
• Responds to employee complaints, concerns and inquiries and ensures follow-up with other personnel as appropriate.
• Approves and processes weekly departmental payroll through Kronos for direct reports of CHRO and CIO.
• Approves and reviews expenses within the department; coordinates the timely processing of vendor invoices and check requisitions.
• Manages special events and projects on behalf of the executives supported.
• Ensures confidentiality on all company matters.
• Manages the executives corporate credit card account. Reviews and processes the monthly expenses for executives. Disputes charges when necessary.
