Sono Bello is seeking an Administrative Assistant. This position is responsible for coordinating activities and providing administrative support the Chief Medical Officer and Medical Leadership Team. Will be involved in diverse work such as travel, meetings, special events and other programs such as our recognition programs. Will sit in on regular meetings and project updates, creating agendas, and taking and disseminating notes. Working on special projects such as new product chart audits that interact with other departments. Compile and prepares recurring reports. Will perform basic to intermediate analysis of data and trends. This role will work out of our office in Scottsdale and provides virtual support and may serve as a member of the support team including back-up to the front-desk responsibilities at this location.

ESSENTIAL DUTIES & RESPONSIBILITIES:

• Responsible for general administrative duties of moderate to a complex nature for the Chief Medical Officer and Medical Leadership Team.
• Generates virtual meeting agendas and sets up appropriate logistics (Zoom or MS Teams).
• Create meeting notes, archives, and disseminates based upon company practices.
• Coordinates travel and expense reports for the Chief Medical Officer and Medical Leadership Team.
• Will arrange up to four in-person meetings inclusive of remote location selection, hotel, food and other logistics. Will be required to attend these meetings, thus some travel is required.
• Tracks and reports on important deadlines and projects.
• Support the administration of event-based recognition such as birthdays and anniversaries.
• Compiles, and prepares both standard and non-standard reports and other information.
• May review and maintains files for incoming and outgoing correspondence.
• Using individual judgment, create organizational methods and practices.
• Supports written communications to the internal team and external groups, including companywide emails.
• Serve as part of the support team in Scottsdale which may include acting as a back-up for the front desk.
• Will be asked to take on administrative tasks of a moderate complex nature while maintaining confidentiality.

REQUIRED QUALIFICATIONS/EXPERIENCE:

• High School Diploma or equivalent
• One year of experience in a receptionist, front desk, or similar role in a professional office environment.
• 2 years of administrative experience in either professional office or customer facing companies.
• Previous experience supporting remote teams.
• Preferred prior experience supporting executives in a mid-size or large organization.
• Preferred prior clinical experience and/or education.

OTHER SKILLS & ABILITIES:

• Possess a breadth of administrative support skills.
• Demonstrated experience in meeting deadlines on time, especially with different requests. Able to handle sensitive and confidential matters in an appropriate way.
• Previous experience in providing effective support to virtual leaders and their staffs.
• Demonstrated skills and experience in working with confidential information.
• Ability to work autonomously with appropriate direction.
• Prior experience making travel arrangements and processing expense reports using software programs.
• Previous experience in creating, monitoring and maintaining organizational systems on an individual or departmental level.
• Moderate to advance skills using commons business software and specifically Microsoft Office Suite and Outlook.
• Demonstrated experience in setting up meetings inclusive of logistics for up to 20 attendees.
• Prior experience with analysis at an intermediate level.
• Possess a flexible and strong customer service attitude.
• Possess the ability to learn a variety of computer operating systems.
• Be able to interpret a variety of instructions.
• Independent judgment is required to plan, prioritize and organize diversified workload.
• Possess the ability to write reports, correspondence, and processes.
• Ability to travel as requested.

This position can be a hybrid of remote and office work. Must report into our Scottsdale office a minimum of twice a week.

Job Type: Full-time

Pay: $20.00 – $28.00 per hour
