Tall Tree Integrated Health Centre is looking for a talented full or part time Administrative Assistant to become part of a thriving team at our beautiful clinic located in Matticks Farm in Cordova Bay.

This position will be working out of our Mental Health space with a focus on not only assisting the front desk/day-to-day functions, but assisting with: our new and unique program focusing on Longevity Medicine; Assessments and Mental Health assessment scheduling; funder relationship building to name a few.

ADMINISTRATIVE ASSISTANT – ESSENTIAL FUNCTIONS

Front Reception

• Welcome patients warmly and professionally
• Book patients (in person or by phone) efficiently and accurately
• Ensure that a patient’s overall experience is both exceptional and comfortable
• Follow up with patients to book future appointments

Phone and Email Duties

• Answer phone warmly and professionally
• Check voice mails and emails, and address each message appropriately
• Contact offices, and the parties involved with patient care

Longevity Program/MD

• Exceptional customer service
• Keen eye to detail and actively anticipating patient needs
• Assist with creating/revamping processes for efficiency and accuracy
• Complete and file reports as required

Billing and Administration

• Complete billings to 3rd party payers, including MSP, WorkSafeBC, ICBC, Pacific Blue Cross, Telus Health etc.
• Manage billing rejections, submissions and aged receivables
• Process debit/credit/cash/gift card transactions
• Other duties may be assigned

REQUIREMENTS OF THE POSITION

• Minimum 2 year experience in customer service in hospitality or high end customer service
• Minimum 2 year experience in an office/clinic setting
• Previous healthcare/medical clinic experience preferred
• Excellent communication skills
• Proficient with computers and software including: Microsoft Office, Jane Practice Management, EMR system (Oscar or similar)
• Able and willing to learn new software and technologies
• Able to to perform essential functions in a fast-paced environment with multiple competing demands
• Ability to work independently and in a team

Salary: $19.00-$23.00 per hour
