Assists the payroll clerk in completing duties associated with that position. Produces SAP reports for TCSO Departments requesting assistance. Completes special projects assigned from the Command Staff. Assists Operations Management with reports and tasks involving spreadsheets, SAP, or other software as needed. Assists Sheriff’s Office employees with general support (i.e., time sheet, computer questions, notarize documents) and SAP Time Administration. Prepares and mails out Grand Jury information as needed. Relieves the receptionist desk and performs related duties assigned to that position. Prepares and types correspondence for senior staff.
Essential Duties and Responsibilities
1. Assists employees with FML information and paperwork.
2. Assists with Payroll when Payroll Clerk is out of the office for training/leave.
3. Produces and exports SAP reports for SO departments requesting assistance and special projects assigned by SO senior staff.
4. Assists with Sheriff’s Office Personnel processes.
5. Relieves Administrative Receptionist.
6. Performs RMS Data Entry and Grand Jury Subpoenas every 3 months .
7. Assists with SO personnel processes including record keeping for promotion selection processes, Civil Service testing, and relief in absence of Senior Human Resource Clerks.
8. Assists with SAP Time Administration.
9. Prepares and types correspondence for senior staff.
10. Performs all other related duties and assigned.
Minimum Requirements
High School diploma . Two to three (2 to 3) years of related administrative work experience. Personnel/Human Resources experience preferred. Notary Public preferred. Knowledge of office equipment and word processing. Knowledge and proficiency using Microsoft Office Professional Suite and specialized software systems used to manage personnel and security identification records. Ability to handle varied and multiple tasks.
Physical Demands and Work Environment & Other Requirements
While performing the duties of this position, the incumbent is regularly required to sit, stand, walk, bend, stoop, climb, lift, push and pull. Must be willing to work overtime, weekends, holidays, rotating shifts, evenings and nights.
There is exposure to household type cleaning agents (such as diluted bleach, alcohol based window cleaner, chlorine based cleanser); and occasional exposure to pesticides. There is occasional exposure to inmate control devices that emit pepper agents via aerosol spray, gel or foam. There is the potential of exposure to toxic smoke.
