Job Description

Accounting Clerk Overview:

This position is responsible for the accounts receivable and cash application aspects of the company, to include the production of financial reports, maintenance of adequate accounting records, and a comprehensive set of controls and budgets designed to mitigate risk, enhance the accuracy of the company’s reported financial results and ensure that reported results comply with generally accepted accounting principles and/or reporting standards.

Accounting Clerk Essential Functions:

• Maintain system of controls over accounting transactions; and an orderly accounting filing system
• Maintain cash application for all companies on daily basis within NAVX and QuickBooks systems.
• Ensure that accounts receivable is collected within terms; initiating collection calls when necessary
• Ensures compliance to credit insurance by monitoring existing current customer credit limits and those who have applied for credit, and works with insurer for debit collection assistance.
• Prepare daily cash sheets in conjunction with reconciliation against prior days’ online banking activities
• Prepare daily bank deposits for local branch as needed. Continually directs customers to send payments to lockbox accounts. or to pay by ACH, to eliminate the need for local branch deposits.
• Coordinate with day to day operations of the accounting payable clerk
• Prepare weekly AR aging reports for distribution to customers as needed. Prepares weekly AR metrics.
• Ensure that monthly bank reconciliations are completed; prepares and posts correcting adjustments to the general ledger. Maintains documentation for audit review.
• Research outstanding credits, deductions and/or misapplied payments for resolution
• Adds new customer accounts, updates credit limits, and reconciles customer accounts for deposits received for unshipped inventory
• Prepares month-end journal entries for each bank account
• Prepares month-end journal entries to record payroll-related transactions. Reconciles payroll bank account activity to general ledger accounts for labor expenses, liability accounts and employee loans and advances. Assures that all payroll-related cross-charges are correctly and timely performed from T&D to affiliate companies.
• Reconciles inter-company AR/AP accounts and Due To / (From) accounts to assure that items are timely settled.

Accounting Clerk Qualifications:

• Associates degree in Accounting, Business or equivalent
• Understanding of business software (Microsoft Navision preferred)
• Sound understanding of cost accounting principles
• Strong Analytical Skills and Detail Oriented
• Strong Verbal and Written Communication Skills
• Ability to Work in a Team Setting
