About the Role
Responsible for the day-to-day operations of the Document Service department ensuring that all service level agreements to internal (BSC) and external customers are achieved as part of the MGS License Agreement and MGS Performance Framework Agreement.
Assist management with building on departmental and employee metrics and workflows to build a culture of continuous improvement. Problem solves areas of risk that may impact daily production and/or quality outcomes, including scheduling projects, resource allocation, cross-training, and quality initiatives.
Work with internal and external stakeholders to complete scanning projects as required while maintaining day-to-day operational service levels.
Ensure all reference/procedural documentation for the Ministry and DSC use are current
What will you be doing
Establish and maintain departmental procedures and performance standards on productivity and quality in the department. Continually measure and evaluate current standards to determine how performance can be improved in the department through efficiencies i.e., application tools, workflow changes, cross-training, etc.
Ensure departmental goals and objectives are integrated with the organizational requirements for quality management, health & safety, and environmental policies
Track scanning initiatives, from approval through the SBC plan or other approvals to their completion within the agreed-upon time and budget allocations.
Responsible for ensuring the department is conforming to records management standards for imaging and document management. Work with IS to create or maintain appropriate system tools for operational or new project requirements. Identify and report to management areas of risks, challenges, and possible solutions regularly. Includes building and maintaining positive and productive relationships with service providers such as vendors, consultants, and internal and external customers, i.e., MGCS, VAS, Vendors, etc
Excellent interpersonal skills with the ability to quickly develop business relationships. Strong self-motivation to drive results. Excellent communication skills both verbal and written. Effective use of Microsoft Office. Ability to lift 30+lbs. as necessary
Provide direction to salary and unionized employees including the prioritization of both business and personal objectives to enable growth opportunities within the team
Through leadership and guidance build and maintain a culture of continuous improvement. i.e., cross-training, mentoring, coaching, by demonstrating the Teranet Values
About You
5-9 years of experience
Excellent communication skills both verbal and written
Knowledge of Teranet’s business and applications would be an asset
The candidate must be detail-oriented and possess advanced Microsoft skills
Knowledge of scanning procedures, document imaging formats, etc.
Experience with working in a unionized environment would be an asset
Ability to creatively solve day to day bottlenecks quickly and efficiently
Change Management skills an asset
