Job Description Summary

This position is responsible for performing general accounts payable and accounts receivable tasks such as checking, verifying, and entering invoices, applying cash, distributing invoices and statements, resolving vendor and customer related invoice issues, issuing debit and credit memos, issuing payments and collecting outstanding receivables for both domestic and international entities.

Duties and Responsibilities

• Enter invoices into PLEX while ensuring three-way match with purchase order and receipt and proper approvals and/or signatures are obtained
• Create customer invoices and statements utilizing a computer posting program as needed and distribute via mail, e-mail, or direct electronic interface
• Check bank balances and update cash reconciliation spreadsheet daily, apply A/R cash collections and clear outstanding A/P checks
• Create and maintain customer credit limits with the approval of the CFO, making recommendations to change based upon customer payment performance and market intelligence
• Collaborate with the Purchasing and Shipping departments, vendors, and others to clear up discrepancies with weight, pricing, missing POs, and project codes between vendor invoices and receivers
• Collaborate with Customer Service and Shipping departments to resolve customer billing issues
• Process payments via ACH, wire, printed checks and enter checks for positive pay with online banking
• Verify credit card charges and properly upload to AP system for payment
• Scan all A/P and A/R documents for visibility and internal control compliance
• Reconcile A/P and A/R activity in the subledger to the general ledger on day 1 of close
• Perform analysis on specific accounts as requested, provide audit support, and other duties as assigned
• Follow ISO/IATF, safety and environmental procedures as well as department and corporate policies and procedures

Job Knowledge; Skills and Abilities

• Must be able to multi-task and establish priorities, maintain a flexible attitude, and approach towards assignments, and maintain level of organization in a changing and fast paced environment.
• Must have a good command of the English language, both written and verbal and be able to comprehend an extensive variety of instructions, both oral and written.
• Basic office and computer skills. (i.e. Outlook, Excel, Word, PowerPoint)
• Ability to define problems, collect data, and establish facts

Education and Training

• High school or GED equivalent
• Associates degree and/ or two years credit department experience

Tools and Equipment

• Computer and other general office equipment
• Steel toed shoes, safety glasses and ear plugs where required
