Our offices are located in the Financial District. In addition to educational, networking and business development services for its members, BASF provides a variety of legal services to San Francisco residents including our Lawyer Referral and Information Service. In addition, the communications department supports the efforts of the Justice & Diversity Center (including the Homeless Advocacy Project) which is the largest provider of legal services to San Franciscans.
About the Job:
The Membership Coordinator manages the member database for the Member Services Department and provides excellent customer service to BASF’s members. Responsibilities include but are not limited to creating and consistent updating of member records, creating and updating organization information, generating dues invoices, processing membership cards, and responding to member phone calls and emails in a timely manner. This position also processes membership dues revenue that come in the form of check or credit card payments, and interacts with law firm billing contacts on both Sponsor Firm and group membership invoices and coordinates with the Finance department to process all dues payments. This position is an integral part of the database management team, and works closely with the Membership Director to strategize on improvements and modifications to the system as they relate to Membership.
Skills and Requirements:
· Works directly with the Membership Director to oversee all aspects of the member database. Responsible for creating new member records, as well as updating of information on current and potential members addresses, membership status, section and committee participation, etc.
· As an iMIS heavy user, discovers and documents issues/problems with the iMIS database and works with Database Manager to troubleshoot any problems, as well as strategize system improvements as they relate to Membership
· Handle processing membership dues and posting of payments (includes live checks, checks received from our lock box, and credit card payments that arrive via fax, mail, or online)
· Assists in generating and mailing of paper invoices during membership renewal periods
· Works with Membership Director and Finance department to process complicated sponsor firm dues payments
· Handles membership and dues payment questions as well as information requests from BASF members and their accounting staff via telephone, email, and/or in-person
· Effectively represents BASF at various membership recruitment events, CLE programs, special events, fundraisers, etc.
· Provides administrative support to Membership Director in all recruitment activities and projects/renewal membership drives, including:
· Assembling member information packets and researching and providing law firm and attorney data
· Providing Executive Director, Deputy Executive Director, and Membership Director with weekly membership revenue reports
· Tracking Sponsor Firm and Group Bill payments and providing reports as requested
· Assists in the training of BASF employees on certain iMIS functions (e.g. entering and updating member data, processing payments, generating invoices)
· Excellent written/verbal communication and interpersonal skills
· Ability to be self-motivated with excellent organizational, problem solving, and time-management skills with attention to detail
· Ability to multi-task and rapidly adapt to changing priorities
· Ability to demonstrate excellent in-person, telephone, and email customer service skills (be pleasant, timely, tactful and diplomatic)
· Proficiency in MS Office (Word, Excel, Outlook)
· Possess knowledge of database software (iMIS) and financial software
Education and Experience:
· Bachelors degree in a related experience, or an equivalent combination of relevant education, training, and expertise sufficient to perform the essential duties of the position
· Minimum of two years experience and a proven track record of success
