We hire for a real-estate, tech and food startup in hyper-growth mode looking for rock-stars to work at their facilities and corporate offices. We are looking for someone to join their team as an Operational Support Specialist. This is a new role, so we are looking for a driven and excited person who can help build out the role and help grow the business and function!

Competencies
Attention to detail – in auditing data, preparing invoices, and tracking details from concessions and adjustments to the right invoice. The role is about aiding in cleaning up all Source of Truths and maintaining them, so attention to detail is a top competency in this role.

Customer service – Customer-obsessed and great with helping customers research invoice and billing issues, as well as help the Ops team research and resolve issues.

Truth-Seeking – Interested and compelled to seek for the truth is digging into details and finding things that don’t look right. A key responsibility of the role is to identify incorrectly inputted data, research, and then correct it.

Computer/Tech skills – Ability to work in Google Sheets, understand basic Sheets formulas, excellent writing and verbal communication skills.

Responsibilities

Terminations – The OSS will fully own the entire termination process from communicating with the operator, to working with legal to approval of a termination letter, updating SFDC and other docs, coordinating move out with Facility Supervisors, terminating the lease on Beam, filing tickets for digital off-boarding, issuing final invoice, and making sure the Termination Revenue is applied.

Contract Renewal – On a monthly basis, review all contracts due for renewals, and proactively reaching out to the operators to initiate conversations. Following the conversations, the OSS will terminate, auto-renew, or send out renewal contracts.

Invoice Adjustments (Credits) – For all Non-Order Reimbursement credits, the OSS will track, own, and apply the credits. This includes licensing fee concessions, ROE concessions, processing fee concessions, etc. Any credits that are outside of Order Reimbursements.

POC for AR – In collaboration with the Central AR team, the OSS will be the single POC for the region on any details or information the AR team needs, keep OMs informed on accounts with AR issues, and facilitate and coordinate Otter Turnoff.

Invoice Prep – The OSS will ensure all invoices reflect correctly to all Source of Truths to make sure that all appropriate invoices are approved with the correct ROE’s, Licensing fees, Credits, Order Processing Fee, and Storage Rev. The OSS will also make sure to void and eliminate all invalid invoices/leases.

Source of Truth Maintenance – The OSS will do monthly audits Beam leases to terminate invalid lease, clean up SFDC and Beam to ensure all lease and opportunities have correct ID’s, SFDC correctly reflect likely churns and terminations, along with any other docs (Occupancy on Ops Dashboard, Occupancy Forecasting Dashboard etc).

PnL Transaction Detail Review – During PnL review week, the OSS will be able to audit the transaction details to make sure that all of the credits and revenue are reflected from the invoicing prep cycle. He/she will be reviewing the:

Storage Rev

Requirements:

• Previous experience in administrative services or other related fields

• Detail-oriented with the ability to prioritize and manage a variety of tasks

• Strong leadership qualities

• Must work well in a team environment with ability to build effective relationships.

• Be a self-starter with ability to work independently with little or no supervision

• Must have the ability to develop positive working relationships with customers and vendors.

• Excellent organizational, communication, and presentation skills.
