What You’ll Do:
Provide receptionist support as assigned.
Manage incoming calls pertaining to the business for the corporate office.
Support functions of the receptionist desk throughout the course of the day.
Submit facilities work orders online on a timely basis; track the progress of work orders.
Assist team in scheduling conference rooms and setting-up A/V equipment in addition to keeping conference rooms clean and ready at all times for meetings.
Ensure the entire office (reception area, general space, conference rooms, team rooms, print centers) is tidy, clean, and organized at all times.
Participate in various employee onboarding requirements including the preparation of employee name signage, assign access cards, assigning phone extensions, etc.
Order and track office and kitchen supplies ensuring supplies are stocked and accessible to employees.
Order and stock printer/copier supplies; handle routine maintenance and schedule service calls.
Sort mail and packages daily.
Assist staff with projects and overflow as needed (printing, binding).
Work with the building maintenance team to ensure the office is functioning properly – HVAC, lights, etc.
Assert discretion and professionalism when given access to confidential and/or private information.
Copy, scan, fax and mail correspondence, many of which are highly time-sensitive documents.
Maintain office email distribution list and send emails when applicable on updates from the building’s management, etc.
Perform administrative duties and maintain a high level of professionalism and integrity as a team player across the organization and possess the ability to work for and communicate in various forms with peers, multiple level managers, supervisors, external clients and vendors with minimal daily supervision.
Must Haves:
Minimum of one to three years experience.
Develop effective and constructive solutions to challenges and obstacles.
Demonstrated high-level of proficiency with all applicable software packages (Microsoft Suite).
Excellent oral and written communication skills (spelling and grammar), good phone skills, organized, able to set priorities and meet deadlines, able to multi-task, carefully proofs own work.
Proven record of providing excellent customer service, both internal and external.
Proven ability to consistently manage multiple projects with accuracy and meet assigned deadlines.
Ability to work autonomously or as a member of the team.
Excellent interpersonal skills.
Enjoys working in a team environment.
Resourceful self-starter, works well under pressure.
Ability to work in a fast-paced environment exercising professionalism.
Ability to work unsupervised and set own priorities.
Must have a positive attitude and willingness to learn.
Education:
Bachelor’s Degree preferred but not required.
Hours & Location:
M-F ~20 hrs/week, hours are flexible. This position is located onsite at our Customer’s Chicago, IL office. There is no remote capability for this role.
