Position Summary
The Executive Assistant will provide executive administrative support to the Office of the President and CEO. The Executive Assistant will provide support to the President and CEO by acting as their primary scheduling assistant. They will assist with President’s Office administration, including budgeting, financial reconciliations, reimbursements, inputting donor information into databases, taking meeting minutes, and onboarding support to new executive staff. They will work with multiple departments to prepare briefings, synthesize information, and manage a system of approvals for the President and CEO. The Executive Assistant will also support governance in the organization by aiding meetings of the Board of Directors, maintaining member lists, and maintaining the Board of Directors intranet site. They will help with event planning and execution for senior leadership meetings and staff gatherings. They will be required to respond to ad hoc administrative needs, assist with special projects, and act on behalf of the Director, President’s Office, often on short notice.
Position Requirements
Minimum of 5 years related experience in administration, executive support, event planning and/or donor relations.
Fluent written and spoken English is essential; familiarity with written and/or spoken French, or willingness to learn would be a strong asset.
Proficiency in formal correspondence writing.
Strong interpersonal skills, sound judgement and effective communication skills are essential in this position.
The incumbent must be able to cope with volume, frequent changes in priorities, and many interruptions throughout the day.
The incumbent is expected to show initiative where appropriate as well as anticipating needs.
Excellent organization skills, problem solving skills, ability to make decisions, sound judgement, event planning, managerial skill, logistical thinking, attention to detail, and finance/budgeting knowledge.
Previous experience as an executive/administrative assistant is needed, as well as advanced technical ability of Microsoft Office products (Word, Power Point, and Excel).
Experience using relationship management and financial databases would be an asset.
Incumbent will need to be skilled in working in a team environment, be able to influence peers and senior staff.
Understanding of federal government structure, and awareness of major actors in conservation, among foundations, and major corporations an asset.
Experience interacting with major gift donors, executives, Board members, and senior government officials.
Ability to maintain confidential and sensitive information.
Bachelor’s degree preferred.
A passion for nature and the outdoors.
Some travel may be required.
Terms of Employment:
This is a permanent full-time position, with Toronto as a preferred location but remote working also an option.
