About “This” Position

We’re looking for an Accounts Payable/Payroll Assistant who is self motivated and someone who will thrive in a fast-paced environment, multi-task like no one’s business. We value strong communication skills, accuracy, as well as someone who likes to keep things organized and able to be discrete. This position will be responsible for compliance with accounting and payroll principles, practices and procedures ensuring accurate and timely entry of financial transactions and payment of people and invoices. The person in the position may encounter confidential data, which, if disclosed, will have significant internal effect or minor external effect. We are looking for a people person and team player.

Knowledge and Skills

• Sort, open, date stamp mail and distribute

• Review, code and enter accounts payable invoices into accounting system by entity/location; obtain approvals; attach electronic invoice copies to invoice file in accounting system

• Prepare and process recurring expense payments, including rent, debt, etc.

• Prepare and upload allocation files, if required

• Prepare invoice payment files for approval; process ACH payments; issue checks

• Prepare chargeback/return checks reports; submit to billing for posting/collections

• Prepare credit card upload files; upload into accounting system

• Maintain complete and accurate vendor records

• Obtain and retain W-9 forms from all vendors; assist in preparation of 1099’s annually

• Assist with month-end accounting close

• Process correct garnishment calculations and compliance

• Process manual and final checks

• Load import files received from time and attendance

• Respond to employee inquiries regarding payroll issues or concern

• Review HR entries for new hires, deductions, etc.

• Compete other duties and reports, as assigned

• Proficient in Microsoft Excel

• Accounting software experience, Intacct preferred
