Position Objective
This position sits in the Finance team which incorporates the support services of the business. This position assists the Office Manager to make sure that the office environment supports the wellbeing of the team. We want to provide an environment where the team have access to the systems, information, and equipment they need to perform their jobs well. We want the physical spaces in the office to promote a healthy working environment that helps to drive our leadership principles and that the support we provide helps to promote a great working environment where we recognize and celebrate success.

Key areas of Responsibilities
TV’s: ensure the TV’s in the office are turned on and displaying correctly.
Office Supplies: weekly / monthly countdown and stationery orders completed to ensure we always have the supplies we need.
Inwards goods: check in of couriered and mail items, make sure these are moved out of the reception area.
Health & Safety: log any incidents, check first aid kits regularly, be part of fire safety team, provide first aid.
Onboarding: help with the tasks to onboard new team members, such as setting up their workspace.
Exiting: ensure all equipment is returned and access is revoked when a team member leaves.
Meeting Actions: follow up meeting actions and close out before fortnightly OLT and LT meetings.
Meeting Agenda: Setup the OLT meeting agenda fortnightly.
Huddle: setup and pack-up the surface hub for huddle, add and remove team members to the invite. Load Huddle onto staff wiki.
Birthdays: shout outs on teams, birthday cakes at huddle.
Event Co-ordination: assist with staff events as required, tasks such as ordering supplies, setup, pack of event, helping move furniture to setup, setting up Christmas decorations etc.
Access cards: manage the access card register.
Accounts inbox: filing and forwarding of invoices to other teams.
Daily Sporcle: add a daily quiz to teams channel.
Office Manager Backup: be available to the team to answer questions and meet with contractors when the office manager is not available.
Projects: admin support for projects as required.
Admin support requests: various tasks will be filtered by the office manager.
Flowers for team members for events such as new baby.
Office Reorganisation: helping to make minor adjustments to layout, such as moving desks or cabinets
Key Skills, Experience & Behaviours
Entry level role, but previous admin experience desired
Strong written and verbal communication skills
Strong keyboard skills
Experience with Word, Excel, PowerPoint, Teams desired
Great attention to detail and accuracy of work
Flexible and adaptable – working under pressure
Good at multitasking
Not afraid to jump in and help-out when needed
Happy to do some manual work (moving boxes, office equipment etc)
First aid certificate (or willing to get one)
Enthusiastic team player
A desire to make people happy
