BASIC FUNCTION:
Answer all incoming calls, greet all visitors, and handle the duties of the Receptionist’s desk. Perform secretarial and clerical work consistent with the position accountabilities accurately and on a timely basis.
ACCOUNTABILITIES:
Standard Practices: Perform miscellaneous secretarial duties, including typing, data entry, and filing (digital), etc. as required by the General Manager and staff. Provide continuous switchboard coverage during normal business hours. Prepare all outgoing mail, and receive, date and distribute incoming mail. Perform bank reconciliations and handle other accounting duties as required.
Enter, print and distribute all Sales Orders. Invoice orders after shipment, provide customers with pro-bill numbers as required; and perform regular customer file maintenance.
Receive and record all cash receipts and prepare the daily cash deposits. Maintain the Accounts Receivable records and files, and handle discrepancies. Assist the Corporate Credit Department with the investigation of credit references, flag all potential collection problems and control the credit limits as directed by the Credit Manager. Perform collection calls to achieve an average DSO of 45 days or better.
Enter, print and distribute all purchase orders. Monitor stock levels for all office supplies, stationery, and printed forms, and reorder as required. Arrange for regular P/M & repairs for all equipment. Enter all miscellaneous vendor invoices after approval by the General Manager. Process A/P payments, Disbursement Journals and maintain the A/P vendor files.

SKILL REQUIREMENTS:
Technical Skills: Basic secretarial skills, including the use of computerized word processors, other common office software programs and office equipment. Strong bookkeeping skills and a basic knowledge of general accounting.
Communication Skills: Provide clear and professional handling of incoming calls, and written correspondence in either official language.
Analytical Skills: Properly identify and direct all incoming calls and visitors; and possess ability to identify and resolve discrepancies with the appropriate personnel.
Management Skills: Capable of organizing workday to ensure accountabilities are met.
