Touch of Spice Looking for Executive Assistant at Auckland, Auckland, New Zealand Full Time

Touch of Spice, experts in luxury travel and curated experiences throughout New Zealand, Australia and the South Pacific are seeking an experienced Executive Assistant to work alongside our CEO and founder Jacqui Spice.

Key responsibility areas:

• Support the CEO in the day to day commercial running of the business. Tasks could include checking invoices, helping with villa rate calculations, liasing with third parties such as RTO’s, reviewing terms and conditions
• Assisting with operational requirements including things such as SOP’s, health and safety and other policies needed for the business to run smoothly 
• Assisting the sales team with checking the accuracy of their travel files if required
• Manage the CEO’s ever-changing appointment and meeting schedule including all travel related arrangements domestically and world-wide
• Support the CEO with reporting, agent liaison, trade show follow up, various information gathering when required particularly with regards to the preparation of proposals, high end itineraries and key client requests
• Supporting the CEO with various sales & marketing activations often in conjunction with the marketing team
• Represent the CEO by attending meetings etc in the CEO’s absence and also meet with key clients, agents or guests when required on behalf of the Touch of Spice team 
• Various other tasks as required by the CEO

Key attributes:

• Able to work flexible hours across the business day depending on requirements – important to note this is not a 9-5pm type industry
• Extremely organized, punctual, and efficient, delivering tasks on time and with your best attempt put forward to the CEO to review
• Confident to use initiative once a good understanding of the role has been reached
• Be prepared to go ‘over and above’ and ‘think outside the square’
• Able to manage a variety of tasks/opportunities at one time
• Be a team player who is approachable with great communication skills and information retention

Requirements:

• Minimum 3 years’ experience as an EA in a similar role to an entrepreneurial Business Owner or inbound travel experience that fits the job description 
• Preferably have some Accounting and Xero experience
• Skilled in Microsoft Excel, Word, Outlook and PowerPoint
• A can-do attitude and prior experience working in the travel industry
• Ability to travel for work when required

This position is currently home based and preferably for someone in the Auckland or Queenstown regions where company operates from.
