Tracksuit Looking for Executive Assistant to Co-CEOs at Auckland, Auckland, New Zealand Full Time

We’re looking for an empathetic, energetic, and experienced EA to assist our Co-CEOs, Matt and Connor, as Tracksuit expands globally.

At Tracksuit we are transparent and approachable, so we are looking for a facilitator rather than a gatekeeper in this role. We want someone who can help Matt and Connor show up as their best selves for the team rather than limiting access to them.

You’ll utilise your 2+ years of EA experience to support Matt and Connor in:

Efficiency: Audit and optimise calendars, identify delegation opportunities, schedule and facilitate meetings, handle travel arrangements, process expenses, and manage general admin tasks.

Responsiveness: Monitor social media accounts and emails, triage and respond to communications promptly, create templates and workflows for efficient handling of incoming messages.

Proactivity: Maintain a list of events and important contacts, schedule visits and meetings in advance, build relationships with VIP partners and customers so we can celebrate major milestones with them.

Preparedness: Conduct briefings prior to meetings, communicate expectations to attendees, set meeting agendas, and monitor action items to ensure momentum.

Focus: Monitor progress on Corporate Development OKRs, track tasks, action items, and deadlines.

Teamwork: Prioritise 1:1s with direct reports, protect time in calendars for availability to the team (office hours, walks, coffee catch-ups).

Balance: Ensure lunch breaks, family time, and annual leave are prioritised, safeguard focus time for deep work.

That’s the role, so who are you?

• Kind, inquisitive, entrepreneurial, and respectful like the rest of our amazing team.
• An experienced EA or PA with at least 2+ years of experience, ideally in a global organisation or a high-growth startup.
• Your love of lists and impressive attention to detail mean that you’ll run a tight ship despite a lot of moving parts and competing priorities. Your role will have a high impact, because your support will allow Matt and Connor to focus their energy where they are most effective.
• You’ll be a whiz with timezones, have impeccable spelling and grammar, and make Canva slide decks in your sleep.
• Communication is absolutely key in this role, therefore you’ll be a confident communicator who can switch their tone to suit the situation with ease.
• We’re growing rapidly so there are a lot of exciting things competing for attention, particularly in a role such as this where most of your day is made up of small (yet high value) tasks. Your time-management and problem-solving skills will mean that you’re quickly able to identify priorities, and your flexibility will allow you to quickly adapt as these priorities shift throughout the day.
• You stay up-to-date with new tools and techniques to enhance efficiency and performance. You enjoy researching and implementing them in your daily work, reflecting your passion for continuous learning and upskilling.
