Job Summary

Assist the Chief Nursing Officer (CNO) and the executive team in the daily operations of managing a multi-site community health center.

Primary Functions

Manages calendar of executives, requiring knowledge of the purpose of the meetings and organizational priorities; ensures that attendees know of any pre-meeting work required; compiles pre-meeting materials
Prepare and proofread documents, reports, and presentations, always ensuring the organization’s brand standards are met
Creates creative flyers and presentations on behalf of the executive team
Prepares correspondence for appropriate signature
Maintains records as needed by the organization’s policy
Opens mail and re-directs documents as necessary
Prepares meeting minutes and agendas for various committee meetings
Arrange all travel for executive team and directors
May be assigned projects requiring research, gathering data, analysis, and reporting on results, working both independently, or as a part of a team
Order supplies for the office; coordinate food orders for the executive team and meetings
Answer all incoming calls and direct as appropriate
Uphold a strict level of confidentiality
Develop and sustain a level of professionalism among staff, patients, and vendors
Arrange the office/boardroom for visitors, escorting those with appointments to the necessary place
Assist at outside events outside of normal business hours as needed
Other duties as assigned

Education and Experience

Knowledge, Skills and Abilities

Advanced Microsoft Office skills (Word, Excel, Power Point, Outlook)
Experience in Canva and/or Adobe Photoshop
Ability to work under pressure
Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
Ability to work well with others
