Job Description:
Recruitment and Admissions:
Coordinates with ChE faculty and staff in the development of recruitment literature, including the departmental graduate program brochure and web site information. Coordinates logistics for various graduate student ChE events. Active participant in the annual College of Engineering Graduate Student Recruitment Weekend. Attends off-site recruitment events, as needed. Serves as contact point for requests for information regarding graduate study, admission requirements, requirements for degrees, faculty research areas, etc. Forwards program information packets to potential graduate students. Processes and monitors graduate school applications; provides pertinent information to ChE graduate admissions committee for applicant evaluation and admission decision. Updates applicants of status of applications and sends final acceptance or denial decisions. Processes graduate student admissions. Maintains and reports data pertaining to student admissions and progress. Responsible for coordinating ChE Orientation activities and coordinating schedules with COE and the Graduate School.
Program Maintenance:
Prepares and processes University, College, and Departmental forms, including Graduate School petitions, supervisory committees, admission to candidacy, and reports on final exams. Coordinates compilation of graduate program catalog information, from program guidelines to the formal Graduate Catalog. Assists in the development of schedule of courses for graduate ChE courses and prepares and processes new course transmittal forms and termination/modifying course forms (e.g. Course Development and Course Delivery Data). Responsible for monitoring Textbook Adoption for the ChE instructors. Responsible for set up and maintenance of instructor evaluations for graduate courses via GatorRater. Assists in assigning graduate Teaching Assistants and in managing Supervised Teaching requirement. Tracks grade submission for general ChE graduate courses and coordinates processing and submitting of grades for special courses, as well as processing of change of grade forms. Responsible for Certification of graduate degrees. Compiles, analyzes, and prepares statistical data reports regarding ChE enrollment, retention, and other related data and prepare reports for the ChE department and COE. Attends COE academic and curriculum meetings, as appropriate. Assists in Graduate Program Committee meetings from agenda development, note-taking, rule guidance, and implementation of suggested changes. Initiates, composes & signs routine program correspondence. Assists the Associate Chair for Graduate Programs with matters pertinent to the graduate program (e.g. curriculum revisions), as needed.
Advising:
Responsible for academic advisement for all graduate students in the ChE Department. Maintains academic folders and conducts periodic reviews of Program of Study for each graduate student. Advises students on registration procedures of the program. Handles enrollment of students in controlled courses. Monitors curriculum requirements and performs periodic progress checks to ensure timely completion of defined milestones. Performs graduation checks for each graduate student. Regularly informs student population of relevant deadlines and requirements. Serves as a liaison for ChE graduate students and faculty, as well as various academic departments, COE, and Graduate School. Serves as a knowledge base and informs appropriate individuals of various procedures and policies of the university, college, department, and program. Notifies the department’s Associate Chair of Graduate Programs and/or Chair and applicable ChE faculty of graduate students that have academic and administrative problems. Collaborates with Associate Chair of Graduate Programs regarding students in noncompliance or on academic probation.
Events:
Coordinates with the Chair’s Assistant or other departmental/college staff members on planning and hosting events for the department, including monthly graduate student networking events, Off-Site recruiting/events at conferences, Junior Preview, Spring Recruiting Visit, and New Student Orientation.
Cross-Training and Assistance:
Coordinates with other portions of Academic Office (Undergraduate) to serve in assisting during high load times or to fill in during absences. Teamwork with entire ChE office staff is expected. Also, may cross-train with other co-workers in their absence.
Performs other duties as assigned by the Departmental Chair and Associate Chair for Graduate Programs.
Expected Salary:
$46,000-$53,000; commensurate with qualifications and experience
Minimum Requirements:
Master’s degree in education, counseling, or an academic field directly related to the advisor’s area of responsibility and one year of relevant experience; or a bachelor’s degree in education, counseling, or an academic field directly related to the advisor’s area of responsibility and two years of relevant experience.
Preferred Qualifications:
Familiarity with student records, procedures, and rules.
Must exercise confidentiality with sensitive information and documents.
Ability to develop and maintain databases.
Ability to communicate effectively both orally and in writing.
Ability to effectively interpret written guidelines and policies.
Knowledge of word processing software.
Knowledge of office procedures and practices.
Able to work independently with minimal daily supervision.
Able to work under pressure to meet deadlines.
Ability to work well with other staff and must be able to develop a rapport with students.
Ability to coordinate and communicate actively with contacts in BME departments.
