Job Purpose
To lead a team responsible for the provision of a comprehensive administrative support for learning and teaching in the School of Geographical and Earth Sciences. Working in partnership with the Director of L&T, Head of Professional Services and the professional admin team of 5, you will ensure delivery of key teaching administration processes for all our U/G and P/G degrees across 2 sites.
You will manage resource efficiently in the provision of support services and to have delegated authority for planning learning and teaching administrative provision. To be responsible for designing, implementing and managing key systems and promoting continuous improvement in administrative procedures to ensure an effective superstructure for learning and teaching across undergraduate and postgraduate taught provision.
Main Duties and Responsibilities
1. Leadership. Create, develop and manage the School teaching support team to deliver a high-quality service to academic staff and enhance the student experience, including development of policies and practices to improve effectiveness and efficiency, taking account of all stakeholder requirements and available resource:
a) review and develop harmonising policies and working practices within the School
b) identify and disseminate good practice from across the University
c) display innovative thinking in streamlining key functions and utilising IT systems to maximise efficiency
d) monitor and plan the work of the teaching support team and to ensure operational effectiveness within available resources.
2. Quality assurance and enhancement. Responsible for administration of quality assurance processes relating to undergraduate and postgraduate taught programmes, including programme reviews, accreditations, and other quality assurance exercises. Advising the Examinations Officer and other course organisers to ensure the University regulations and Code of Practice are followed.
3. Human Resources. Manage and contribute directly to the development, deployment and motivation of the student support team to promote excellence and a culture of continuous enhancement and development in customer-focussed service delivery ensuring the delivery of a high quality student experience and meeting client needs and expectations. In liaison with the Head of Professional Services, contribute to the Performance and Development Review process for the team, identifying training and development needs, setting performance objectives and developing individuals
4. Strategy. Participate actively in the learning and teaching work of the School, contributing to the planning processes, including strategic planning with particular reference to the administration of learning and teaching, student support services and the implementation locally of University policies
5. Delivery. Manage the provision of learning and teaching administration for the School to ensure efficient running of the UG and PGT programmes. This includes a ‘one stop shop’ for staff and students, timetabling and allocation of staff, advising, assessment, progression, student records, documentation in support of teaching, and regulatory requirements
6. Governance. Responsible for the management of student data in MyCampus, including responsibility for building and maintaining plans and course information as well as resolving high level problems. Manage programme and course approvals in PIP, and ensure GDPR compliant practices across the breadth of activity. Managerial responsibility of teaching timetables and room bookings via CMIS ensuring School timetabling is performed both efficiently and strategicall
7. Membership. Make a leading contribution to the meetings and business of the Learning & Teaching Committee and contribute to the planning and resource management processes. Participate in the College Learning and Teaching Administrators’ Group
8. Collegiality. Represent the School effectively at meetings/workshops/training events/conferences to keep up to date with developments, to gain and share information, including best practice, expertise and working practices in the higher education context, and contribute to College and University-wide initiatives U
9. Undertake any other duties assigned by the Head of School, Director of Learning & Teaching or Head of School Administration.

Knowledge/Qualifications
Essential:
A1 Degree or equivalent in a relevant subject or postgraduate /professional qualification with relevant formal training plus sufficient practical experience in a similar or related role OR evidence of progression and development gained through extensive relevant work experience.
A2 Ability to demonstrate the competencies required for this role through acquired knowledge and skills gained in a similar or number of different roles A3 Extensive knowledge of developing and implementing administrative systems.
Desirable:
B1 Extensive knowledge and understanding of the University structures, policy practices and procedures as they relate to learning and teaching.
B2 Extensive knowledge of QA practices.

Experience
Essential:
E1 Experience of process improvement and change management.
E2 Experience of supervising and managing staff
E3 Proven ability to develop and provide strong customer service to a range of stakeholders
E4 Experience of implementing and interpreting University regulations and providing advice and guidance to staff and students.
E5 Sufficient administrative experience, ideally within Higher Education with a relevant qualification or evidence of progression and development gained through extensive years relevant work experience;
E6 Ability to demonstrate prior experience of providing high quality advice on matters relating to student affairs and regulations/codes of conduct.
Desirable:
F1 Experience of using My Campus or other student records system
F2 Experience of using Supportworks or other customer enquiry management system
Terms and Conditions
Salary will be Grade 7, £37,474 – £42,155 per annum.
