AMHERST HYBRID REMOTE Clerk IV – Sociology Department Job Summary The
Administrative Assistant/Clerk IV provides a range of administrative and
operational support for the Department of Sociology. Minimum
Qualifications A minimum of one (1) year full-time or equivalent
part-time, office administration experience. Excellent attention to
detail. Ability to understand and apply University personnel practices,
policies and procedures. Ability to make decisions in accordance with
laws and regulations and to apply these appropriately. Ability to
communicate effectively, including strong writing and editing skills.
Extensive organizational and problem-solving skills. Ability to
understand and follow complex oral and written instructions. Excellent
computer usage skills including email, spreadsheets, word processing,
and databases. Ability to work with a minimum of supervision. Ability to
interact effectively with people from diverse backgrounds. Ability to
initiate and implement self-directed assignments. Ability to work
collaboratively and effectively with students, faculty, and staff from
diverse backgrounds. Flexibility to work in a large and complex
department with a high degree of assertiveness and initiative and
willingness to take on a variety of tasks related to the successful
operation and administration of the Department. Ability to make sound
and mature decisions and to carry out assignments in an organized and
timely manner, balancing the demands of concurrent and potentially
competing projects. Ability to follow office practices and procedures
and policies. Preferred Qualifications Experience working in a higher
education environment. Associate’s Degree (in Business Administration
or closely related field of study). Experience with University personnel
systems Essential Functions Coordinates and supports the administrative
and organizational aspects of faculty and staff searches. Posts position
advertisements in the appropriate professional journals and websites.
Sets up user accounts for search committee members and update records as
required. Assists with arranging job candidate visits, including travel,
hotel reservations and interview scheduling. Coordinates with the Chair,
Personnel Committee Chair, and Director of Administration and Research
to prepare faculty tenure and mini-tenure cases, PMYR cases, annual
faculty reports, sabbatical leave requests, unpaid leaves and course
buyouts in an organized and timely manner. Maintains personnel files and
consults with Dean’s office Human Resources staff to provide department
faculty and staff current and updated information on personnel policies
and procedures. Serves as Department time and attendance coordinator for
faculty, staff and student employees. Prepares submission reports for
Department Chair approval. Provides assistance with event coordination,
including ordering food and reserving space.Manages department Google
calendar and reserve rooms for non-class events. Work Schedule 52 weeks
per year at 50% or equivalent schedule. This position has the
opportunity for a hybrid work schedule, which is defined by the
University as an arrangement where an employee’s work is regularly
performed at a location other than the campus workspace for a portion of
the week. As this position falls within the University Staff
Association, it is subject to the terms and conditions of the University
Staff Association collective bargaining agreement.
