Responsibilities
POSITION SUMMARY:
This position will report to the URMFG Practice Manager and will assist with day to day front end operations as needed. This position will manage provider calendars, schedules patient appointments, manages master schedules in eRecord, check-in/out, referral WQ management, in-basket management, insurance eligibility verification, and answering phones for multiple practices/programs. This position will require excellent communication and organizational skills, experience and knowledge regarding policies, practices, and procedures of UMHP, BHP and EAP programs and Well U programs and a high level of proficiency in a variety of software programs predominantly eRecord. Carries out responsibilities with considerable latitude for independent judgment. Fosters and enables a positive work environment by modeling the I CARE values. TYPICAL DUTIES:
Administrative:
Manage practice operational needs and work with facility management, cleaning vendors, ISD, IT and other vendors at multiple sites to insure facility repairs and other needs are being maintained
Maintains accurate inventory of office supplies and marketing materials. Orders additional supplies for multiple sites from vendors while ensuring cost savings, as appropriate.
Manage room reservations for clinical services and prepares resources for EAP related activities
Ensure practice/program materials are adequately stocked and available
Completes and submits forms for purchases
Manages calendars for clinical leadership
Supports program/practice events
Front End Operations:
Provides front end support across multiple programs. Maintains expert knowledge of systems and databases such as eParc and eRecord and Penelope applications by attending meetings/training and acting as the subject matter expert (SME)
Patient registration, check-in, check-out, DAR management
Scheduling
Schedule new patient and f/u appointments
Schedule Critical Incident Responses for EAP
Schedule Wellness Workshops for EAP
Create and manage provider master schedules
Develops and manages clinical on-call schedule
Develops and manages clinical case review schedules
Picking up/delivering mail, scanning patient documents, supporting day to day front desk operations
Managing incoming calls for multiple programs
Referral WQ management, in-basket management, managing incoming emails and all other program front end operation needs as they arise
QUALIFICATIONS:High School Diploma required. Minimum of 2 years of relevant experience required or an equivalent combination of education and experience. Knowledge/experience of hospital EMRs including scheduling, front desk and billing applications. Proficiency with Microsoft office including Word, Excel, Publisher and PowerPoint. Baccalaureate degree preferred OR a combination of formal training and experience equivalent to the above.
