We have a full-time, permanent opportunity for an Administrative Assistant – Fire and Rescue in the Fire and Rescue Department. Reporting to the Fire Chief, this role will be responsible for all administrative support, including filing, data entry, and other related duties.

Key responsibilities include:

• Assist the hiring process for all recruitment within the Fire and Rescue Department
• Manage administrative support for areas including, but not limited to: invoice processing, expense & budget reports, payroll inquiries, and department inventory & purchases, document filing (electronic & hard copies and library materials)
• Coordinate internal and offsite meetings, through liaising with internal and external stakeholders, including arrangement of equipment and catering (if required), and securing training facilities and accommodations
• Create correspondence and reports, such as PowerPoint presentations, agendas, and email

Key qualifications include:

• Minimum 2+ years of administrative experience, supplemented a high school diploma; or an equivalent combination of training and experience
• Completion of post-secondary courses or certification in Administration or a related field would be an asset
• Proficient in Microsoft 365 including Word, Outlook and SharePoint, and Adobe Acrobat
• Excellent attention to detail
• Excellent organizational skills with the ability to meet deadlines and manage a variety of projects simultaneously
• Experience working with ERM software (Airs, Maximo, Oracle) is an asset
• Excellent written and verbal communication skills
• Ability to work independently with a high degree of initiative
• Ability to exercise discretion when dealing with sensitive, highly confidential matters
• Positive attitude and the desire to join a close-knit and supportive team

Must be able to obtain DAVOP License and Restricted Radio Operator License – Aeronautical within three months of employment.
