Summary This Program Specialist position is in the Social Work Service and is located at the Brockton VA Healthcare System. This position is full-time and 40 hours per week. Responsibilities Major duties include, but are not limited to: Major Duties and Responsibilities: Analytical 25% Responsible for clinic maintenance process for the Facility Clinic Profile Management program. Ensures that completed profiles reflect national, network and local goals, directives, and policies. Monitors and conducts annual reviews of accuracy of clinic profiles to ensure assigned clinics capture and transmit workload accurately for maximum reimbursement, and workload credit. Works with clinic to monitor grid validation, appropriateness of program identifiers and count/non-count clinics. Participates in Facility task forces, and committees to problem-solve, implement software, reviewing data capture and scheduling directive matters, and other workgroups related to clinic profile management. Develops and captures data from data sites to be able to understand, analyze and interpret data at the team, service and leadership level as it relates to clinic profile structure and operations. Utilizes reports as a source of data concerning utilization, access, MCA stop code assignment, encounters, workload and other data measures. Data/Reports 25% Assists with data retrieval and analysis of reports; prepares clinic section reports to monitor accuracy and utilization regarding clinic profile management and communicates to Clinic Profile Manager for action. Maintains accurate records of clinic profile maintenance requests and all actions taken. Record keeping shall be retained in accordance with departmental established record keeping policies. When requests do not adhere to established policies, requester shall be notified that no action will be taken until proper procedures are followed. Assists requesters to interpret policies and provide technical assistance as required to facilitate receipt and timely processing of requests. Quality Assurance and Training 25% Assists with training for the Facility to ensure staff are properly educated and accountable for clinical profiles and data management processes. Quality Assessment 25% Supports quality assurance efforts through assessments of workflow and procedures to improve service delivery to customers. Assists with evaluating data capture outputs to ensure facility compliance with directives and other national guidance as it relates to Clinic Profile Management. Assists in analyzing data for validation of clinic set up information to include count vs. non-count, program identifiers and standard naming conventions, and all other parameters of the clinic profile. Reviews reports, assisting with developing problem resolutions. Routinely reviews assigned clinic profiles, identifying and correcting negative trends to assist staff in projecting clinic needs and analyzing clinic utilization. Annually evaluates and updates clinic profiles, availability, utilization, and program assignments that is associated with the clinic profile. Assists in updating and maintaining digital workflow, forms, designs, and electronic records of clinic maintenance requests, such as creating new, modifications, inactivation’s and cancellations of profiles. Performs other duties as assigned.
