INTRODUCTION
The Administrative Support Specialist’s function is to assist Executive and Management staff with the execution of various tasks and assignments, supporting day-to-day business needs. This position is important to our firm and the fulfillment of the duties and responsibilities contribute to the overall success of the company.
AUTHORITY
The Administrative Support Specialist derives authority from the Office Manager and is granted full authority to carry out the duties set forth in the job description.
RESPONSIBILITY
The Administration Support Specialist is directly responsible to the Office Manager for the proper discharge of his/her duties.
DUTIES
The principal duties include the following:
1. Promptly and courteously answer general phone inquiries.
2. Greet visitors to our office.
3. Facilitate the efficient flow of mail through the office.
4. Match, cost code and input receipts & invoices into Sage.
5. Assist in reconciliation of Credit Card statements
6. Mailing of payments and filing of paid invoices
7. Manage insurance renewals certificates for subcontractors.
8. Maintain bidding schedule/solicitations, printing documents, preparing bid forms, WMBE efforts, etc.
9. Maintain office supplies.
10. Miscellaneous errands as directed.
11. Assist safety director with typing of policies.
The above outline of duties is not arranged in order of priority. These duties are not meant to restrict initiative, but rather to describe minimum activities. Those duties will from time to time be altered by the Office Manager to suit the needs of the company.
EXPERIENCE
1. 2+ years of previous administrative experience
2. High School diploma or Equivalent required
3. Strong proficiency in Microsoft Office Suite
4. Excellent written and verbal communication skills, as well as strong interpersonal skills
5. Strong organizational and time management skills
6. Flexible, skilled at multi-tasking, detail oriented and organized
7. Previous Accounts Payable experience preferred
8. Previous experience with Procore software desired, but not required
9. Experience with Sage Accounting preferred, but not required.
10. Construction Experience preferred, but not required.

Pay: $23.00 – $28.00 per hour
