The Job

The Post Delivery Coordinator reports directly to the Director of Post Delivery and supports five bi-coastal Post Delivery Planning and Operations Delivery Managers.

The Daily

In addition to General Administrative duties, the coordinator will:

• Field phone calls when applicable, manage paperwork, create expense reports.

• Work with the Archive department to inventory delivery assets such as LTO tapes, hard drives, and Post Delivery documents.

• Maintain communication with our offsite archive vault, provide updates on incoming and outgoing assets.

• Track shipping invoices/costs and generate electronic payment requests via Finesse to pay shipping vendor invoices.

• Update shipping vendors on invoice payment status.

• Update Post Delivery show trackers, charts, databases, distribution, phone and contact lists.

• Assist with updating Post Delivery Master Calendar and Show Assignment Chart.

• Coordinate shipping and tracking of highly sensitive Post Delivery elements. Ship locally, domestically, and internationally.

• Coordinate shipping of deliverables to the Production Services Lab/ Hudson Yards, New York.

• Update Scenechronize projects with incoming Post Delivery documents.

• Manage and quality check Scenechronize library of legacy HBO projects.

• Maintain schedules/calendars as well as organize video conference meetings.

• Retrieve and inventory CRAM Elements from Sound Facilities.

• Act as point of contact for time-sensitive file requests for marketing and promo material, pull DME stems from Veritone (cloud-based storage system as requested.)

• Attend M&E mix sessions with Post Delivery Managers.

• Interface with numerous HBO departments, external vendors, and show teams.

• Troubleshoot various software and hardware issues, maintain communication with IT.

• Assist with updates to the Delivery Requirements worksheet, checklists, and technical specifications.

• Research and test software for future Post Delivery project utilization.

• Assist with onboarding of new Post Delivery Team members.

• Handle other duties as assigned.

The Essentials

• Ideal candidate will be an energetic, detail-oriented, self-motivated team player with very strong organizational skills.

• High level of proficiency with computer skills is required.

• Understanding of the Post Production process is required

• Must have strong working knowledge of Microsoft Office, Word and Excel, and Adobe Acrobat.

• Familiarity with Scenechronize, Smartsheet and Air Table.
