I. Job Summary
Provides a variety of administrative and secretarial duties in support of senior level management and executives. Work assignments are complex in nature, and require considerable judgment, tact, creativity, and initiative in order to resolve problems.
II. Essential Duties and Responsibilities
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other minor duties may be assigned.
Serves as a liaison between the executive manager, managers and visitors as required; requests and schedules appointments and meetings and resolves problems requiring in-depth knowledge of company policies and procedures, and projects in progress.
Takes independent action on handling requests; determines the appropriate course of action, intervenes where necessary, and acts as a liaison between departments.
Coordinates data from a variety of sources for inclusion in technical reports and presentations; performs independent research and prepares information for special projects as assigned.
Administers the department record keeping system; updates various department records and publications; ensures that department files are maintained in accordance with company policies and procedures; reviews requests for information and determines the appropriateness of release.
Interprets and relays company policy information; keeps Executive manager informed of any deviation on items requiring personal attention.
Drafts confidential correspondence, edits documents, takes and transcribes minutes of meetings, and performs other administrative and secretarial duties.
Arranges domestic and international travel.
Provides day-to-day supervision and support to clerical staff. Delegates tasks and monitors workflow.
Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
Performing minor accounting duties
Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
III. Supervisory Responsibilities
The highest level of supervisory skills required in this job is the management of non-supervisory employees. This includes:
Direct supervision of 1-2 full-time employees including: data entry, receptionists, and specialists.
IV. Qualifications
The requirements listed below are representative of the qualifications necessary to perform the job.
A. Education and Experience
Education: High School Diploma or GED (accredited).
Experience: Five (5) years of relevant work experience (in addition to education requirement).
B. Certificates, Licenses, Registrations or Other Requirements
None required.
C. Other Knowledge, Skills or Abilities Required
Proficient with Microsoft Office.
Knowledge of general office equipment.
