West Coast Seedsis a family office with a small but dedicated team. Our business includes real estate management as well as passive and active investments for the ownership group. We have a unique opportunity for a reliable, highly organized, and motivated Executive Assistant to manage multiple functions for our owner, CFO and other office staff at our head office located in the Mt. Pleasant area of Vancouver, BC.
No two days will be the same as you support our busy team with a variety of office administration, reception, and bookkeeping tasks, while also acting as a Personal Assistant to the owner. What you’ll do:
· Executive Assistant: support owner and family as needed with tasks such as tracking household expenses/bill payments, travel arrangements, arranging auto leases/insurance, managing personal calendar/scheduling, driving owner to appointments and other personal errands as needed.
· Executive Assistant/Office Administrator: handle regular office needs including correspondence, inbound/outbound mail, invoice approvals, travel arrangements, filing, manage service providers and equipment maintenance. MS Office proficiency required.
· Reception: manage general office mail/email and phone system, greet guests, schedule meetings/catering.
· Property management: assist with commercial tenant issues and trades as needed and ensure proper operations/functioning of home office.
· Bookkeeping: oversee office expenses/payments, expense reports and owner’s personal accounting. Some accounting skills will be helpful. Knowledge of SAGE an asset but training can be provided.
