Western Tractor Company Inc., a 4-store John Deere dealer located in Southern Alberta, is searching for a full-time Service Coordinator to join our growing John Deere agricultural equipment group at our Lethbridge location. Western Tractor is located at the center of an irrigated agricultural area that is known for the variety of specialty crops that it produces. John Deere is the number one brand of Agricultural, Turf and Commercial Construction equipment in the area and has been represented by Western Tractor in Southern Alberta since the 1930’s. Job Summary

The Service Coordinator will assist the Service Manager with day-to-day operations including maintaining a work order flow process, communicating with customers by providing updates on work performed in the shop, coordinating employee meetings and providing direction to Service Technicians, and creating estimates and work orders using the appropriate software.

Responsibilities

• Creates work orders using the “Standard Work Order Process” and ensures the day-to-day process is followed. This includes ensuring work orders are in proper status and working with the Service Writer to confirm invoices are correct for payment.
• Quotes all customers, including the Sales department, on work performed in the shop and on the road to confirm approval and ensure customers have a full understanding of the services provided. This creates a seamless transaction between the Service Department and the customer.
• Assists the Service Manager with incoming calls to the Service Department (Customer always comes first).
• Works with road Technicians to ensure work is lined up and performed as efficiently as possible.
• Works with the Shop Foreman to maintain a daily trucking schedule and ensures all equipment is inspected before delivery.
• Regularly communicates with the Sales Department to anticipate service needs and keeps current on all new material and software.
• Promotes the Service Department by completing cold calls and customer visits to grow our Performax program.
• Fills in for the Service Manager in their absence, including addressing customer concerns and after-hours calls.

Competency and Training Requirements

• High School Diploma or equivalent experience
• 3+ years’ experience in Service Department operations
• Minimum of 250 hours of overtime will be required
• Ability to use standard desktop load applications such as Microsoft Office and internet-based functions
• Ability to write and speak effectively to individuals and groups
• Ability to effectively lead a team and hold individuals accountable
• Familiarity with John Deere and competitive products
• Basic understanding of financial principles relative to Service Department operations
• Ability to analyze and interpret internal reports
• Ability to work extended hours and weekends as needed
• Demonstrated excellence in customer service skills
