SUMMARY OF POSITION RESPONSIBILITIES:
Under the direction of the Program Director the Health Information Services Clerk I (HISC I) is responsible for office telephone assistance, verifying clients’ information, record releases and service authorizations. S/he is knowledgeable about the automated appointment scheduling and client registration systems. She/he must be able to extract clinical data from medical records when requested by referring providers. S/he will have continual interaction with clients and physicians in person and by phone.
S/he works as a team member with other program staff and consistently projects a professional and courteous demeanor. This position collaborates with the other program managers and staff to develop monitor and maintain systems pertaining to all aspects of the agency.
GENERAL DUTIES:
1. Provide excellent customer service at all times to clients, staff and vendors.
2. Coverage of the reception desk; Receive/route/take accurate messages on a high-volume, automated, multi-line telephone console.
3. Greet visitors, sign in vendors, register clients and verify client eligibility.
4. Operate a computer to enter/retrieve data.
5. Maintain physician appointment schedule, set, and change or cancel appointments at patient’s request/as needed.
6. Create charts for new admissions; ensure medical records are complete, assembled in standard order and filed correctly; Adhere to all HIPAA regulations.
7. Maintain client database(s) to track client information and census.
8. Maintain physician / case manager appointments i.e. schedule, set, and change or cancel appointments at client’s or staff request.
9. Ability to perform multiple tasks meticulously, meet critical deadlines and remain highly organized, focused on work during times of meeting critical deadlines; detail oriented with minimal supervision.
10. Utilize intermediate word processing and spreadsheet skills, with the ability to format and integrate these to produce complex reports and documents.
11. Perform other related tasks and duties as assigned by the Program Director.
QUALIFICATION REQUIREMENTS
1. High School graduate or equivalent with three (3) years related work experience. AA degree preferred with two (2) years related work experience.

2. 25-35 WPM typing; must be able to demonstrate typing skills.
3. Excellent data entry skills; high accuracy.
4. High level of oral and written communication skills
5. Willingness to accept full accountability for extending a high level of customer service.
6. Discipline to implement and maintain systems and procedures to ensure efficient transfer of information to others.
7. Excellent interpersonal and business communication skills, both written and verbal
8. Proven conflict resolution skills.
9. High level of organization and attention to detail, supported by an in-depth knowledge of office procedures.
10. Skilled knowledge of PC, word processing, database management and spreadsheet systems. Must demonstrate skill in Microsoft Word and Microsoft Excel for Windows.
11. Ability to use an electronic medical record system.
12. Ability to work with staff, clients and community members from diverse backgrounds.
13. Follow all agency protocols regarding safety and professional behavior.

Mild to medium to heavy work requiring prolonged or repeated standing, walking, climbing, stooping, kneeling, crouching, lifting, carrying to a maximum of up to 50 lbs.
