This is a fixed term 6 month contract to cover maternity leave, commencing 1st Oct 2022.
An exciting opportunity has arisen for a Ships Agency Administrator to join a global maritime organization!

The position:

The role of the Ships Agency Administrator is to provide administrative and operational support to Ships Agency operations. You will find yourself closely and effectively planning & coordinating vessel husbandry operations in New Zealand and Pacific Islands. You will be liaising with Government Authorities, working closely with vendors, representing our customer’s interests, assisting crew, and dealing with industry bodies.
Shipping is 24/7 operations, out of hours and weekend work will be required as necessary to complete tasks.
About the location/department:
Based in Auckland, WSS New Zealand is looking for an experienced temporary, full-time Ships Agency Administrator. The role will be reporting to the Ships Agency Senior Operations Manager, NZ and Pacific Islands.

Who you are:
Ideally, you are experienced in the maritime industry, preferably you’ll already have a solid understanding of the Shipping Industry and be familiar with port regulations and procedures, but if not, we will consider those with the right attitude and desire. You will need to possess a strong Health and Safety focus with a desire to get the job done and get it done right. The ability to work independently is critical, however, at all times remember you are a part of a team working to be successful together.
Attention to detail, the ability to adapt to change and to problem solve on the run are key attributes to this role.
The ability to work under pressure, be a problem solver, and be a solutions provider are important traits to be successful in the role. Reliability, trustworthiness, multitasking, thoroughness, and determination are all characteristics that you’ll also need to possess.
A valid work permit in New Zealand is required and it is a must that the applicant has a full driver’s license.
Required experience and skills:
- Administrative education or relevant work experience.
- Good communication skills and command of the English language (oral and written).
- Process and system understanding.
- Self-motivated and result orientated.
- Innovative thinking and strong IT skills
- Proactive and possesses the ability to anticipate issues to facilitate preventive measures.
- Ability to work under pressure and meet deadlines
- Ability to work independently and systematically
- Ability to co-operate across organization lines.
What you will be doing: (Main Responsibilities)
- Closely plan and coordinate vessel Husbandry port calls which include but are not limited to, Vessel Crew Change Coordination, Coordination of Ships Spares, Coordination and Delivery of Cash to Master, Coordination of all Visiting Ships Managers, Superintendents, and Class Surveyors, etc.
- Ensure quick, responsive, and accurate communications with the Principal/Master/Terminal and any other parties.
- Responsible for general tasks including, but not limited to, reconciliation of disbursements, customers’ schedules.
- Ensure compliance with Ships Agency processes, standards, and procedures, including correct use of the operating system (WASP).
- Ensure all invoices are received promptly from creditors and processed immediately to achieve the set KPI for all disbursement account.
- Report leads, business opportunities, and relevant port updates observed to Manager.
