Job Summary:
Real Chemistry is looking for an Executive Assistant to join our growing team! This role will support members of leadership team in achieving business objectives in a fully remote position. They represent their leader(s) to internal and external parties, collaborating with diverse groups across multiple corporate levels. With discretion and diplomacy, the Executive Assistant juggles multiple responsibilities and proactively anticipates the business needs of those they support. The ideal candidate will complete a broad range of administrative tasks, prioritizing conflicts needs, handling matters expeditiously, and following through on projects with deadline pressures.

What You’ll Do:

Daily, weekly, monthly, and quarterly calendar maintenance, management, and communication to create strategic, well thought out business schedule as needed for each situation
- Schedule and meeting set up for internal teams, clients, and events as requested, including conference calls and videoconference events
- Document preparation and distribution

- Handle all travel arrangements including itineraries, accommodations, and transportation.
- Complete, submit, and track expense reports; reconcile credit card charges as necessary.
- Word document production and PowerPoint presentation support, including document/presentation preparation and meeting coordination, as well as new business pitch support
- May serve as point of contact for specific clients, including coordination of calls and tasks
- Work effectively with the administrative team, regarding communications, troubleshooting, support, and backup
- Work closely with the Talent Acquisition Team, including scheduling candidate interviews
- Cooperatively work with administrative team to ensure seamless and efficient administrative and operational support across the company.
What You Should Have:
- Minimum 5 years’ Executive Assistant experience supporting executives in mid to large size company with global presence
- Bachelor’s degree or equivalent experience
- Proficient knowledge and use of MS Office suite, including Outlook
- Experience with and the ability to work well under tight deadlines and respond to rapidly changing demands
- Exceptional organizational skills and excellent attention to detail
- Recognize and appropriately handle highly sensitive and confidential material
- Flexible, resourceful team player comfortable in a fast-paced environment
