Working independently with minimal direction, the Senior Payroll Tax Analyst monitors, manages, and reconciles multi-state (50) and local payroll taxes at the employee and employer level for Wolters Kluwer United States, approximately 8,500 FTEs with a total Payroll value of $1.103B. This role is responsible for preparation, compliance, and timely filings of employment tax returns as well as reconciliation to the Wolters Kluwer US general ledger, 3rd party tax service provider reports and filings, including external and internal audits.
The position is responsible for complex projects associated with the maintenance of tax records and the preparation of all or specifically assigned tax returns and related reports for Wolters Kluwer Payroll at the Federal, State, and local level including but not limited to audits and internal & external tax entities which require research, analysis, and negotiation skills. The position works with federal, state, and local tax agencies as well as ADP Tax, Corporate Tax, Sales Tax, and Finance in individual and combined functional audits.
Job Responsibilities:
Review employee level taxation for new hires, transfers, and address changes
Apply for state and local identification numbers, as required
Reconcile payroll tax reporting after each pay run to ensure accurate filings by tax service provider
Monitor quarterly tax filings
Coordinates state and local payroll tax audits, meeting on-site or virtually with auditors as required. Collects data, documents processes, analyzes requirements, and mediates resolutions subject to management approval.
Monitors tax-vendor performance and coordinates all tax activity.
Opens and closes all payroll tax accounts.
Accountable for tax table database in concert with payroll vendor.
Performs periodic audits of payroll tax areas including, but not limited to, state and local withholding elections and tax/wage balances. Provides scheduled reports of variances to management.
Responsible for payment of tax items not within the vendor’s scope including expense tax, occupational tax, state-funded workers comp, surcharges and special assessments.
Assists payroll staff and other interested parties to interpret and apply payroll tax laws, rules, regulations, policies, and procedures. Answers inquiries and provides required data to internal and external auditors as needed. Brings identified problems with recommended solutions to management.
Generate reports for Corporate Tax Department, as needed
Generate reports for Workers’ Compensation vendor
Perform other special tax projects as assigned
Reconcile payroll taxes to the general ledger and prepare journal entries
Monitor and reconcile cash activity to payroll and 3rd party vendor reports
Research agency notices and prepare response, as applicable
Assist in preparing documentation for internal and external audits
Prepare returns and payments for agencies not handled by 3rd party vendor
Provides advice to colleagues as needed including M & A analysis on Payroll Tax advice
Serves as back-up for Payroll IS Consultant support, analyzing client needs and preparing ad hoc reports.
