Position: Administrative Coordinator
Location: 402 Bloomington Road, Aurora, Ontario

The Administrative Coordinator reports to the Manager of Operations and is responsible for various duties supporting the organization’s overall functioning. The Administrative Coordinator serves as the initial point of contact for answering phones and greeting visitors, supports with organizing files, creating correspondence, preparing reports and documents, sorting mail, and offering general administrative support to staff, management, consultants, clients and the CEO.
Working as an Administrative Coordinator, you will:
· Prepare, key in, edit and proofread communications such as memos, reports, presentations and brochures.
· Distribute incoming regular and electronic mail. Coordinate the flow of information internally and with other organizations.
· Develop brochures, flyers and related agency materials.
· Answer telephone and promptly relay telephone calls and messages.
· Ensure data, statistics and other information are maintained, and quality assurance standards are maintained.
· Purchase office and household supplies.
· Provide support to the Manager of Operations.
· Provide evening reception duties twice per week.
· Provide administrative support to various agency programs.
· Provide support and back up to other agency Administrative Coordinators.
Skills and Abilities:
· Proficiency in Microsoft Office including Microsoft Word, PowerPoint and Excel.
· Self-motivated, proactive and have good follow-through skills.
· Superior organizational skills with the ability to prioritize and successfully manage multiple tasks.
· Must be fluent in speaking, writing and reading in English.
· Excellent written and verbal communication skills, tact and professionalism are essential for dealing with sensitive information.
Qualifications:
· Community college diploma in office administration with 2 years of relevant experience or an equivalent combination of education and experience.
· Able to maintain strict confidentiality.
· Strong computer skills, including proficiency in Microsoft Office, Word and Excel.
· Knowledge of graphic arts type software such as CANVA
