Your Other Half is a human resources consulting firm that helps small businesses grow. We partner with business owners to create happy, profit-generating teams through effective human resources and people operations practices.
We are an enthusiastic, entrepreneurial, creative team of sixteen, looking for someone who loves human resources, project management, and client communications to join our team and serve our clients. We currently have three open positions to help us to meet the growing needs of our clients.
About the Executive and Personal Assistant Position
The Executive and Personal Assistant will work with and for the CEO, as her right hand, assisting in managing the CEO’s day-to-day responsibilities, both personal and professional.
Key Results for 2023
Creating processes and efficiencies through careful observation, the writing and implementation of strong processes and automation procedures, to ensure the CEO’s time is spent and focused where it is most important and effective.
Managing the daily workflow of the CEO, creating blocks of work time in the schedule, and organizing and prioritizing Asana tasks, so that the CEO’s time is focused on producing work rather than organizing work.
Managing external communications for the CEO, displaying extraordinary judgment, discretion and understanding of nuance of financial, operational and human resources issues to correctly prioritize the CEO’s focus in responses.
Working closely with the CEO and Your Other Half team to ensure that the CEO’s time is focused and spent in the places that are most important for the business, aligned with company goals, as well as client and team needs.
Roles and Responsibilities
The Executive and Personal Assistant will be responsible for:
Understanding and collaborating on the ownership of the CEO’s responsibilities with her, such that she can be an organized and effective leader for the team, with her administrative and personal needs met and handled, through effective communication and project management.
Managing the CEO’s calendar and scheduling with an average appointment load of 50-75 appointments per week.
Organization and support for external communications, including review, organization and drafting of responses for email (generally 200-400 emails per day) and phone/voicemail (generally 3-5 calls per week), as well as ensuring the CEO is regularly managing her Slack communication.
Maintaining weekly, monthly, quarterly and annual schedules, and ensuring certain appointments are made on those frequencies (whether for personal or professional engagements).
Managing the CEO’s personal social channels, including inboxes and invitation management.
Filing, including managing digital filing systems on multiple platforms, labeling and organizing digital files, and aligning with applicable legal, company and personal requirements for filing systems.
Assisting the CEO with personal appointments, purchasing and ordering, for up to five hours per week.
Additional responsibilities may be assigned based on business needs and the individual’s interests.
Position type: This position is approximately 35 hours per week. There is a contingency period of 90 days. After a successful first 90 days, a regular, ongoing position may be offered but this is not guaranteed.
Start date: June 5, 2023 or any Monday thereafter
Position compensation: $30.00 per hour; as we are committed to equitable compensation, this is not negotiable
Position Location: This is a remote position, but the employee must be based in the U.S.

Reports to: CEO
A strong candidate will be:
At least three (3) years of demonstrated executive assistant experience with at two (2) years of those years in a fully remote environment;
Demonstrated experience in a small business setting (ideally in a company with 50 or fewer employees) is strongly preferred;
Calm under pressure and unflappable in the face of timely or urgent requests;
Able to not only do the work, but also think about how it could be better and more efficient;
A superb communicator, with excellent verbal and written communication skills, including a demonstrated ability to write and edit adeptly;
SUPER detail-oriented, with the ability to ensure accuracy and high quality across multiple responsibilities;
Comfortable managing multiple responsibilities at once, and prioritizing amongst them with ease;
Experience with online tools including at least three of the following: Asana, Harvest, HelloSign, Google Suite, Slack, and Zoom;
Able to learn new things quickly, especially web-based softwares and apps;
Able to provide clear information in a timely way to support internal or client decisions;
An openness to constructive, supportive feedback and a commitment to consistently improve; and
A team player, with a positive, optimistic attitude, and the ability to recognize and celebrate wins of all sizes;
Enjoy working in a fast-paced, ever-changing environment where the work day passes quickly; and
Ability to care deeply about their work, and to disengage mentally and emotionally before and after scheduled work hours as well as on weekends, holidays and during PTO for their own wellbeing.
The ideal candidate will be:
Experienced in working for multiple executives or projects at one time;
Experience in working for a consulting firm.
