Zillow is looking for a creative, proactive, and resourceful individual as an executive assistant who can directly support two of our tech executives and indirectly support their teams. Their teams own many of the services that allow us to serve our customers, from information security, to our IT helpdesk, to our customer connections technology, and to a number of software development teams which are underpinnings for all of Zillow. The executives who you’ll support don’t take themselves too seriously, and their teams have plenty of opportunities for you to become involved with and grow into. As a bonus, you’ll also of course get to work with a world-class community of other executive assistants across Zillow who can support you in your journey!
This role requires high levels of discretion, integrity, good judgment, and professionalism in dealing with senior executives inside and outside of the company. The successful candidate must understand business priorities, demonstrate the ability to proactively anticipate needs, drive improvements, own and complete sophisticated tasks and projects quickly, react with appropriate vitality to situations that require a quick turnaround, and proactively solve difficult or complex problems. Exceptional organizational and communication skills are a must.
Responsibilities include:
Provide top-level senior executive support while maintaining high levels of discretion, professionalism and judgment
Represent company and supported executives both internally and externally
Act as liaison with direct reports, other internal teams/organizations, and external partners
Own and handle complex executive calendars and scheduling requirements
Secure and manage travel arrangements, often including complex logistics
Plan, own and run both internal and external executive events and meetings (e.g., staff meeting agendas, all-hands meetings, off-sites, etc. including detailed logistics and meeting material preparation)
Design and implement processes across functions and offices to ensure clear communication, efficiency, and operational excellence
Manage/track administrative activities and help drive completion of key deliverables, including analyses, reports, write-ups, etc.
Own and manage expense reporting and reconciliation, records management, materials preparation, and other duties as required
Anticipate follow-ups and proactively manage upcoming needs
Provide support on special projects as needed; may be responsible for some programs
Build internal and external partnerships and coordinate work efforts across functions
Vette and prioritize a multitude of requests on behalf of these two technology executives
This role has been categorized as a Remote position. “Remote” employees do not have a permanent corporate office workplace and, instead, work from a physical location of their choice which must be identified to the Company. Employees may live in any of the 50 US States, with limited exceptions. In certain cases, an employee in a remote-designated job may need to live in a specific region or time zone to support customers or clients as part of their role.
In Colorado, Connecticut, Nevada and New York City the standard base pay range for this role is $33.50 – $53.50 Hourly. This base pay range is specific to Colorado, Connecticut, Nevada and New York City and may not be applicable to other locations.
In addition to a competitive base salary this position is also eligible for equity awards based on factors such as experience, performance and location. Actual amounts will vary depending on experience, performance and location.
An established Executive Assistant with a minimum of 7+ years of experience, with at least 3-5 years providing direct support to senior-level executives and experience providing support remotely. Experience in technology sector is a plus, though not required. A highly motivated self-starter with high levels of discretion and good judgment, high performance standards, strong attention to detail, and initiative to take action.
Qualifications and Skills:
Established Executive Assistant with 7+ years of experience including a minimum of 3-5 years of experience providing direct support to multiple senior-level executives simultaneously
Experienced at leveraging various programs and applications to effectively provide support remotely
Demonstrate and display professionalism with a high degree of subtlety, tact, and judgment
Use sound judgment and discretion when handling highly confidential and proprietary materials
Excellent influencing, negotiating, communication, and organization skills
Ability to think and plan proactively, delegate responsibilities appropriately, and manage time effectively
Ability to multi-task, anticipate needs, continually shift priorities on a moment’s notice, and balance competing priorities
Ability to work independently
Strive to exceed expectations with a customer-focus attitude
Enjoy problem-solving, working collaboratively with others and building effective working relationships
Seek to creatively design, implement, or improve work processes and proactively resolve issues and conflicts
Ability to accept accountability for outcome and results, and to seek/act upon constructive feedback
Proficient with technology including Microsoft Office suite applications (Outlook, Word, Excel, PowerPoint, etc); Google Suite applications (Sheets, Docs, Slides, etc.); Zoom, iPhone, Slack, etc.
Bachelor’s degree and experience working in the technology sector preferred, though not required
Must be able to provide support at minimum during the hours of 9am – 4pm PT
