Front Desk Receptionist / Back Office Responsibilities:
Patient Scheduling:
– Learn how to use our scheduling software – Unified Practice
– Answer all phone calls while at work, securing and following up with patients
– Check/reply company email/messages, etc. throughout the day
– Learn how to identify cash/insurance patients, ask for appropriate questions to patients, and communicate between the biller and patients
– Do not leave the station when patients are in front desk, or when you expect the patients to come in or about to check out (and then go to the back, and set up the treatment rooms)
Patient Prep:
– Room setup, including turning on music, salt lamps, water fountains, and aroma diffuser
– Treatment tables ready (fresh bedding, paper sheets, bolsters in place, face cradle cover, etc.)
– Acupuncture station fully stocked in each room (needles, alcohol, alcohol preps, ear seeds, etc.)
– Cupping station cart ready for treatment (cups/utensils washed and dried, supplies stocked up)
– Moxa trays cleaned and ready to go (torch, lighter filled with gas, moxa sticks trimmed)
– Room setup for massage therapists (turn on towel warmers with wet towels for first patient, cover table with a blanket)
Office Work:
– Filing patient notes, keep desk clean, check-in/out patients
– Receive and track payments (CC, cash, Venmo)
– Perform patient insurance benefit verification by communicating with our biller
– Organize office mail
Keep Office Clean and Presentable Throughout the Day:
– Keep front desk clean and organized
– Keep office, rooms, bathroom, kitchenette tidy (cleaning service comes twice a month)
– Check the tidiness of the bathroom throughout the day (make sure there is no trash on the floor or contamination on the sink, toilet seat, and the floor)
– Clean and stock coffee/tea station daily (water bottles, cups, napkins, etc.)
– Clean essential oil diffusers in rooms once a month
– Change seasonal signs quarterly with colors and writing representing the season
– Take trash out daily
– Water plants, schedule pest control and water filter change
Laundry once a Week:
– Acupuncture rooms: sheets and gowns for all patients that week
– Massage room: sheets, towels, and hot hand towels for all patients that week
– Drive your car to local laundromat – company will pay miles, detergent, coins, etc.
Stocking Office / Treatment Supplies:
– Treatment supplies stocked in each room
– Office supplies stocked (patient forms, pens, hand sanitizer, printer paper, printer ink, etc.)
Qualifications:
Education: High school diploma or higher
Communication skills: Professional, polite, prepared, and friendly (on phone, in person, with patients and practitioners)
Dependability: Punctual (on time to work/getting off work), consistently work on scheduled days, must have dependable vehicle to get to work, advanced notice for time off, minimal personal time/screen time outside of breaks and lunch, stay in communication during off-days (respond in a reasonable amount of time to text/calls)
Organizational skills: Efficient filing, no clutter, front desk stocked and clean
