Job description

You will be responsible for a wide variety of maintenance administrative duties which include issuing and tracking purchase requisitions, scheduling routine reoccurring external maintenance PM’s, and in general support the area managers, supervisors, maintenance technicians and engineers as related to plant maintenance, spare parts and reliability. You will report to the Maintenance Manager at the Geismar, LA site.

Role & Responsibilities

• Provide general administrative support to the to the new Air Products office building and the teams that office there
• Receive and screen all inbound telephone calls, e-mails, and visitors to the office; refer and/or redirect calls, e-mails, or visitors as applicable.
• Assist maintenance personnel in the preparation of training sessions, safety meetings, social events and other meetings – make copies, locate and prepare materials, coordinate/arrange meeting facilities, etc. Follow up after meetings to complete associated data entry and filing.
• Pick up, receive, and distribute plant incoming and outgoing mail, parts and supplies, and handle incoming/outgoing couriers
• Order and maintain office supplies. Point of contact for the facility services, such as housekeeping and grounds keeping.
• Maintain filing of EH&S, and other regulated documents and participate in related audits
• Work with IT support personnel to coordinate phone, computer, and related activities
• Work in SAP to create requisitions, receive goods and services
• Work with purchasing to resolve purchase order quality and payment problems with suppliers and contractors in a timely manner. Arrange for payment of locally controlled supplier invoices.
• Arrange for material to go back to suppliers for exchange, repair, over shipments, etc. Includes coordinating customs paperwork
• Resolve invoice discrepancies
• Assist with spare parts (consumables) activities including spare parts inventory management and change orders
• Coordinate purchase card statements
• Assist at other Air Product facilities in the area as required

Qualifications / Requirements:

• High school diploma
• Strong personal safety philosophy
• Computer skills Microsoft Excel, Word, and Outlook.
• SAP experience is a plus.
• Must be team oriented, well organized, and have a willingness to learn and further develop technical skills.
• Must have strong interpersonal skills and be capable of interacting with a diverse team of people with various backgrounds and interests
• Excellent organizational skills and ability to manage competing priorities
• Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision
• Resourcefulness and flexibility
• High level of sound and independent judgment, reasoning, and discretion

The successful candidate will be a high energy, motivated individual who poses a strong work ethic and the ability to physically lift and move awkward and/or heavy parts and packages up to 50 lbs. in weight. Pay strict attention to detail to perform tasks in a safe, error-free manner. Perform tasks effectively in a team environment and work with basic desktop computer programs (Excel, PowerPoint, Word).
