Description:
Provides administrative leadership, coordination and support for work alignment across the Provincial Standards & Strategies business areas; which includes the Executive Director (ED), three Directors and three other Administrative Assistants. Coordinates ED workload to ensure deadlines and related activities are sequenced appropriately. Prepares committee agendas, attends meetings, records and transcribes minutes, and monitors action items, following up with responsible parties as required. Managing the ED’s calendar, responding to, and prioritizing requests, including scheduling appointments, and travel arrangements. Self-directed, highly motivated individual with exceptional leadership and problem-solving skills that can manage change and deal with a fast-paced environment. Prepares and submits actual expenses post-travel for approval and reimbursement. Ensures document management, Sharepoint management, and filing as required. Coordinates hiring, onboarding, orientation, payroll and offboarding for both leadership and administrative support staff in the ED office. Completes expense claims, organizes working and training sessions and executes assigned deliverables within timelines. Demonstrates exceptional communication and relationship-building skills. Exercises a high level of confidentiality and maintains professionalism while managing a wide variety of complex, sensitive issues, documents, emails and correspondence. Exhibits excellent organizational skills. Demonstrates critical thinking and analytical judgement necessary to make independent decisions where required. Performs as a delegate in the HR and Financial systems while assisting with recruitment. Requires a strong skill set in the Microsoft Office suite. Demonstrates the AHS values.

Required Qualifications:
7 years administrative and office management expertise with a minimum of 4-year experience in a senior administrative professional role, required. High School diploma, required.
Additional Required Qualifications:
Advanced computer skills with demonstrated recent use and/or training in Microsoft Office and Outlook. Proficient typing skills with 50+ WPM. Advanced knowledge of AHS policies, procedures and systems. Excellent written and verbal communication skills. Strong grammar and proofreading skills. Excellent time management, prioritization and organizational skills, and working with minimal direction in a dynamic environment. The ability to work in a fast-paced environment with many distractions and interruptions. Experience working in a virtual team environment.
Preferred Qualifications:
Certification from an approved secretarial/administrative assistant program, preferred. Direct experience in health care organization, preferred. Equivalence of education and experience may be considered.
